Quality Administrative Assistant
Located in Monrovia, CA
Specialized Recruiting Group seeking a detail-oriented Quality Administrative Assistant to support the Quality Department of a growing manufacturing company in Monrovia, CA. Under the direction of the Quality Engineer Supervisor, this role provides administrative and documentation support related to quality assurance, inspections, audits, and customer requirements.
The ideal candidate will have strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities while maintaining confidentiality. This position requires frequent interaction with employees, management, customers, and internal departments.
Compensation: $24.00
- Key Responsibilities:
Provide administrative support to the Quality Assurance Department and Quality Engineering team.
- Perform contract reviews and ensure quality requirements are properly identified and documented.
- Communicate quality-related issues, requirements, or discrepancies to Sales and Marketing teams.
- Prepare, complete, and submit First Article Inspection Reports (FAIR).
- Prepare documentation packages for orders requiring source inspections and coordinate inspection requests.
- Respond to customer requests regarding incomplete, incorrect, or missing quality documentation.
- Assist with inspection equipment calibration tracking and documentation.
- Maintain and organize material certifications and calibration records.
- Perform monthly quality audits, including yellow cabinet audits.
- Coordinate and maintain internal audit schedules and calendars.
- Assist with organizing annual supplier training activities.
- Complete customer self-surveys and prepare documentation for review.
- Review daily priorities and assist with department workflow management.
- Maintain accurate and confidential quality records and documentation.
- Perform additional duties and special projects as assigned.
Qualifications & Skills
- 0–2 years of administrative, customer service, or clerical experience required.
- Manufacturing, quality, or aerospace industry experience is a plus.
- Strong attention to detail with excellent organizational and time management skills.
- Ability to manage multiple tasks and adjust priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and internet-based systems.
- Strong written and verbal communication skills.
- Ability to interact professionally with employees at all levels, including management.
- Ability to handle confidential information with discretion.
- Self-motivated with strong problem-solving and decision-making abilities.
