Administrative Assistant

Position Summary

The Scheduler / Administrative Assistant provides administrative and scheduling support for daily milling and production operations. This role is responsible for coordinating production schedules, maintaining records, assisting with customer communications, processing documentation, and supporting office functions to ensure efficient plant operations.

Essential Duties and Responsibilities

  • Create, maintain, and update production schedules based on customer orders and operational requirements.
  • Coordinate schedules with production, shipping, receiving, and management teams.
  • Monitor production timelines and communicate schedule changes as needed.
  • Assist with inventory tracking and production reporting.
  • Prepare daily, weekly, and monthly operational reports.
  • Track work orders and ensure accurate documentation.
  • Answer phones, emails, and customer inquiries professionally.
  • Maintain filing systems and production records.
  • Enter data into company software, spreadsheets, and databases.
  • Prepare purchase orders, invoices, and other business documents.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • 2+ years of administrative, scheduling, customer service, or manufacturing support experience preferred.
  • Experience in a manufacturing, milling, agricultural, or industrial environment is a plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with ERP, scheduling, or inventory management systems preferred.
  • English and Spanish is required for this role.
