Dental Office Administrator – Job Duty Description

The Dental Office Administrator is responsible for overseeing daily front office operations within a dental practice, ensuring a positive patient experience while maintaining efficient administrative and financial processes. This role serves as the primary point of contact for patients and supports both clinical staff and providers.

Key Responsibilities:

  • Greet and assist patients, providing excellent customer service and creating a welcoming environment
  • Manage appointment scheduling, confirmations, and cancellations to optimize provider schedules
  • Verify patient insurance coverage and process claims, pre-authorizations, and billing inquiries
  • Collect co-pays, process payments, and maintain accurate financial records
  • Maintain and update patient records in electronic dental systems, ensuring accuracy and confidentiality
  • Answer incoming calls, respond to emails, and address patient questions or concerns in a timely manner 
  • Coordinate patient check-in and check-out processes, ensuring all required documentation is completed
  • Monitor office supplies and coordinate ordering to maintain efficient operations 
  • Assist with treatment plan presentations and financial arrangements when needed
  • Ensure compliance with HIPAA and office policies related to patient privacy and documentation

Additional Duties:

  • Support dentists and clinical staff with administrative needs
  • Maintain daily schedules, reports, and office logs
  • Handle referrals, patient follow-ups, and recall scheduling
  • Assist with office workflow improvements and process organization

Ideal Skills & Qualifications:

  • Previous experience in a dental office, medical office, or administrative role preferred
  • Strong understanding of dental insurance, billing, and scheduling processes
  • Excellent customer service and communication skills
  • Proficiency in dental software systems and Microsoft Office
  • High attention to detail and ability to multitask in a fast-paced environment
  • Ability to handle sensitive patient information with discretion
