Office Assistant

Position Summary

We are seeking a highly organized, professional, and creative Office Assistant & Social Media Coordinator to support daily office operations while helping strengthen our online presence. This role combines administrative support, client communication, scheduling, and social media management to promote mental health awareness and community engagement. The ideal candidate is detail-oriented, compassionate, tech-savvy, and passionate about supporting a mental health practice dedicated to helping individuals, couples, and families achieve emotional wellness.

Key Responsibilities

  • Answer incoming phone calls, emails, and website inquiries professionally.
  • Schedule, confirm, and manage client appointments.
  • Assist with client intake and onboarding procedures.
  • Maintain electronic records and ensure confidentiality standards are followed.
  • Coordinate calendars for clinicians and office staff.
  • Prepare office documents, reports, and correspondence.
  • Develop engaging mental health awareness content aligned with the practice's mission.
  • Monitor social media engagement and respond to comments and messages as appropriate.
  • Stay informed about social media trends and mental health awareness campaigns.
  • Support community outreach events and promotional initiatives.

Qualifications

Required

  • High school diploma or equivalent.
  • 1+ year of administrative, office support, customer service, or social media experience preferred.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and Google Workspace.
  • Experience with social media platforms and content scheduling tools.
  • English and Spanish is required for the role
