Position Summary

The Customer Service Representative serves as the primary point of contact for customers, providing information, responding to inquiries, and resolving routine service-related issues. This entry-level role supports a variety of on-site office service functions, including print and copy services, mail and courier operations, reception, shipping and receiving, inventory management, records management, and general office support. The position requires flexibility to provide coverage at multiple client locations throughout the region while maintaining a strong focus on customer satisfaction.

Key Responsibilities

  • Provide prompt, professional, and courteous customer service.
  • Respond to customer inquiries and service requests via email, phone, text, and in person.
  • Escalate potential problems, service concerns, or customer issues to management as appropriate.
  • Assist in maintaining and updating Site Procedure Guides to ensure processes are accurately documented.
  • Attend cross-functional training to support multiple service areas and provide coverage as needed.
  • Collaborate with account teams to ensure seamless service transitions and continuity.
  • Adapt to changing schedules, assignments, and work locations with minimal notice.

Functional Responsibilities

Copy/Print Services

  • Process print, copy, binding, laminating, and finishing requests accurately and on time.
  • Review electronic files for print readiness and perform quality control checks.
  • Operate and perform basic maintenance on print and copy equipment.
  • Track customer requests and completed work for reporting purposes.

Mail & Courier Services

  • Receive, sort, distribute, and process incoming and outgoing mail and packages.
  • Track courier shipments and accountable mail, including FedEx, UPS, and Certified Mail.
  • Research and route unidentified mail.
  • Maintain records of deliveries and customer requests.

Reception & Office Services

  • Greet visitors and manage front desk responsibilities.
  • Answer incoming calls, take messages, and direct inquiries.
  • Schedule conference rooms and support meeting setup.
  • Accept deliveries and assist with office service requests.
  • Provide general administrative and office support as needed.

Minimum Qualifications

  • High School Diploma, GED, or equivalent experience required.
  • Less than one year of related experience.
  • Basic computer and technical skills.
  • Strong customer service, communication, and organizational skills.
  • Ability to multitask and prioritize work to meet deadlines.
  • Ability to work independently with minimal supervision.
  • Willingness to learn new skills and work with different teams regularly.

Additional Requirements

  • Ability to work overtime as needed.
  • Ability to obtain customer-required security clearances.
  • Ability to support multiple client locations throughout the region.
  • Flexibility to change schedules and work locations as business needs require.

Physical Requirements

  • Ability to lift up to 50 pounds.
  • Ability to stand, walk, bend, reach, and perform physical tasks for extended periods during the workday.
