Job Title: Customer Service & Accounts Payable Specialist

Position Summary
The Customer Service & Accounts Payable Specialist is responsible for providing excellent customer service while managing accounts payable functions. This position serves as the primary point of contact for customers, vendors, and internal departments by handling inquiries, processing invoices, maintaining accurate financial records, and ensuring timely payment of company obligations.
Essential Duties and Responsibilities
Customer Service Responsibilities
- Answer incoming phone calls, emails, and greet customers in a professional manner.
- Assist customers with inquiries, orders, account information, and issue resolution.
- Process customer requests and provide timely follow-up.
- Maintain accurate customer records and documentation.
- Coordinate with internal departments to resolve customer concerns.
- Provide exceptional service while maintaining positive customer relationships.
Accounts Payable Responsibilities
- Receive, review, and process vendor invoices for payment.
- Verify invoice accuracy and ensure proper approvals are obtained.
- Match invoices with purchase orders and receiving documents.
- Prepare and process checks, ACH payments, and other payment methods.
- Maintain vendor files and update vendor information as needed.
- Reconcile vendor statements and resolve discrepancies.
- Assist with monthly closing activities and accounts payable reporting.
- Maintain organized financial records and filing systems.
- Ensure compliance with company policies and accounting procedures.
Qualifications
- High school diploma or GED required; Associate degree in Accounting, Business, or related field preferred.
- Minimum of 1-2 years of customer service and/or accounts payable experience preferred.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Experience with accounting software or ERP systems is preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and problem-solving abilities.
- Ability to multitask and work effectively in a fast-paced environment.
Physical Requirements
- Ability to sit for extended periods while working on a computer.
- Occasional lifting of files or office materials up to 20 pounds.
- Ability to perform repetitive tasks such as typing and data entry.
Schedule
- Full-time position
- Monday through Friday
