Customer Service Administrative Assistant Summary:

A local manufacturer of custom labeling and packaging solutions is seeking a Customer Service Administrative Assistant to join their team in Grand Rapids, MI. This role will provide administrative and project support to the customer service team, helping ensure customer orders move efficiently from quote approval through production. The ideal candidate is organized, detail-oriented, comfortable working with Microsoft Office, and willing to jump in wherever needed to support the team. This position offers the opportunity to learn a unique manufacturing environment and may have long-term potential for the right individual.

Customer Service Administrative Assistant Responsibilities:

  • Assist Customer Service Representatives with processing and organizing customer job orders
  • Create and prepare production job packets for approval and distribution to the manufacturing team
  • File completed job packets and maintain accurate records
  • Run reports from the company ERP system and organize information within Excel spreadsheets
  • Assist with pricing adjustments, quality control projects, and special administrative assignments
  • Gather supporting documentation including purchase orders, invoices, and job information as requested
  • Print, organize, and distribute paperwork needed by office and production staff
  • Support communication and workflow between customer service and production teams
  • Learn and utilize the company's CERM software system
  • Assist with clerical and administrative projects as assigned
  • Occasionally assist with light hand packaging or production support during periods of increased workload
  • Provide general support wherever needed to help the team meet customer deadlines

Schedule & Pay:  

  • Monday-Thursday, 9:00am-4:30pm
  • $19/HR

Customer Service Administrative Assistant Qualifications:

  • High school diploma or GED required
  • Previous administrative, clerical, customer service support, or office experience preferred
  • Proficiency with Microsoft Word, Excel, and general office technology
  • Strong organizational skills and attention to detail
  • Ability to follow instructions and complete tasks accurately
  • Comfortable asking questions and seeking clarification when needed
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Manufacturing, printing, or production environment experience is a plus
  • Experience working with ERP software is helpful but not required
  • Team-oriented mindset and willingness to assist in various areas of the business
