Position Overview:
We are seeking a highly organized and detail-oriented Bilingual Office Coordinator (English/Spanish required) to support daily operations within a mission-driven organization. This role provides direct support to leadership and cross-functional teams while ensuring smooth office operations, accurate reporting, and strong internal communication.
This position requires someone who is proactive, able to manage multiple priorities, and comfortable working in a fast-paced environment with both administrative and operational responsibilities.
Key Responsibilities:
Administrative & Leadership Support
- Provide direct support to the Division Manager and leadership team
- Manage calendars, email correspondence, voicemail, and scheduling priorities
- Prepare monthly progress reports, routine reports, and assist with data analysis
- Coordinate meetings, deadlines, and follow-ups to ensure operational efficiency
- Screen communications and manage time-sensitive leadership requests
Office Operations & Coordination
- Oversee daily office operations, workflow coordination, and administrative processes
- Maintain organized filing systems, contracts, and electronic records
- Develop and update internal forms, procedures, and documentation
- Assist with SOP development and process improvement initiatives
HR & Employee Support
- Assist with onboarding, new hire paperwork, background checks, badges, and uniforms
- Maintain employee records, emergency contacts, and compliance tracking lists
- Coordinate interviews and support HR-related administrative functions
- Ensure timely follow-up on employee requests and policy-related items
Facilities, Fleet & Inventory Management
- Manage office supplies, inventory systems, and ordering processes
- Conduct regular walkthroughs of office and storage areas for organization and upkeep
- Coordinate maintenance schedules for facilities, equipment, laundry systems, and fleet vehicles
- Track service schedules, maintenance records, and operational needs
Reporting & Compliance
- Process timesheets, mileage reports, and expense reimbursements
- Support quality assurance follow-up and documentation tracking
- Maintain compliance with internal policies and operational procedures
- Assist with reporting, data collection, and special projects
Communication & Customer Service
- Serve as front office support including greeting visitors and handling phone calls
- Manage incoming/outgoing mail and internal communications
- Create and distribute memos, updates, and internal announcements
- Communicate professionally with internal teams and external contacts
Required Qualifications:
- Bilingual English/Spanish (required) – spoken and written
- 2–4 years of office or administrative experience
- Strong Microsoft Office skills (Word, Excel, Outlook)
- Excellent communication and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong attention to detail and confidentiality standards
- Ability to work independently and collaboratively
Education:
- High school diploma required
- Associate degree or formal office administration training preferred

Physical Requirements:
Primarily office-based role with frequent walking, standing, and light lifting. Occasional exposure to cleaning environments, noise, dust, chemicals, and outdoor conditions during facility walkthroughs or operational checks.
Work Environment:
Fast-paced office within a service and facilities-based organization. Frequent interruptions, shifting priorities, and interaction with employees, leadership, and customers are expected. Some exposure to industrial or janitorial environments may occur.
Dress Code:
Business casual attire with closed-toe shoes required. Must be appropriate for both office and occasional facility walkthrough environments.
