AI Systems Specialist

Position Summary

The AI Systems Specialist is responsible for identifying, developing, implementing, and supporting technology solutions that improve efficiency, visibility, and performance across all departments of the organization. This role will leverage artificial intelligence, automation tools, business intelligence platforms, APIs, and software integrations to streamline processes, eliminate inefficiencies, and improve decision-making.

The AI Systems Specialist will work closely with Accounting, Marketing, Sales, Production, Customer Service, and Leadership teams to understand business challenges and develop practical solutions through automation, reporting, and system optimization.

This individual will also serve as the company's primary resource for evaluating, implementing, onboarding, and training employees on new software platforms and business systems introduced by leadership.


Primary Responsibilities

AI & Automation Development

  • Design, build, and maintain AI-powered tools and workflows that improve operational efficiency.
  • Develop and manage integrations using APIs, webhooks, and automation platforms.
  • Create solutions utilizing Large Language Models (LLMs), AI assistants, and business automation tools.
  • Monitor and manage API usage, token consumption, permissions, and system access.
  • Research emerging AI technologies and identify opportunities for implementation within the company.
  • Continuously identify repetitive or manual processes that can be automated.

Business Systems & Software Implementation

  • Serve as the company's subject matter expert for new software and technology platforms.
  • Lead software onboarding, implementation, configuration, and deployment efforts.
  • Evaluate new systems and provide recommendations to leadership regarding functionality, adoption, and business impact.
  • Coordinate with software vendors during implementation and support processes.
  • Configure user permissions, workflows, automations, and system integrations.
  • Create and maintain documentation, SOPs, and best practices for all implemented systems.

Reporting & Dashboard Development

  • Design and maintain departmental and executive dashboards.
  • Build automated reporting solutions that consolidate data from multiple systems.
  • Develop business intelligence tools that improve visibility into key performance indicators.
  • Ensure data integrity, consistency, and accessibility across departments.
  • Support leadership with custom reports and performance analysis.

Training & User Support

  • Develop and deliver training programs for employees on new software and AI tools.
  • Create training materials, guides, videos, and documentation.
  • Support departments during software rollouts and technology transitions.
  • Provide ongoing troubleshooting and user assistance.
  • Monitor system adoption and identify opportunities for additional coaching and support.

Process Improvement

  • Partner with department leaders to identify operational challenges and inefficiencies.
  • Analyze workflows and recommend technology-driven improvements.
  • Document current and future-state processes.
  • Lead continuous improvement initiatives through automation and system enhancements.
  • Track and communicate measurable improvements resulting from technology initiatives.

Qualifications

Required

  • Experience with AI tools, automation platforms, APIs, and software integrations.
  • Strong understanding of Large Language Models (LLMs), prompt engineering, token usage, and API-based AI solutions.
  • Experience creating dashboards and business reporting tools.
  • Strong analytical, troubleshooting, and problem-solving abilities.
  • Ability to communicate technical concepts to non-technical audiences.
  • Strong organizational and project management skills.
  • Ability to learn and master new software platforms quickly.

Preferred

  • Experience with OpenAI, Microsoft Copilot, Azure AI, Anthropic, Whisper or similar AI platforms.
  • Experience with Power BI, SQL, Power Automate, Zapier, Make, or similar automation tools.
  • Experience implementing CRM, ERP, accounting, marketing, or production management systems.
  • Experience developing SOPs and conducting employee training.
  • Familiarity with business process mapping and workflow optimization.
