Job description:

Reporting to the Plant Manager, the Purchasing Coordinator is responsible for providing purchasing and plant administration. This role works closely with the plant team, Corporate Accounting, Accounts Payable, buyers, vendors, and service providers to ensure efficient purchasing processes, accurate reporting, and compliance with corporate accounting guidelines.

The ideal candidate is detail-oriented, organized, and capable of building and maintaining strong vendor relationships while supporting various accounting and administrative functions within a manufacturing environment.

Key Responsibilities:

  • Purchase Maintenance, Repair, and Operations (MRO) items as required.
  • Prepare and distribute weekly and monthly reports on non-inventory spending activity.
  • Complete daily production reporting and maintain accurate records.
  • Review, reconcile, and report temporary labour hours against vendor invoices.
  • Manage petty cash and perform monthly reconciliations.
  • Serve as the primary point of contact for off-site Accounts Payable representatives to investigate issues and facilitate timely resolutions.
  • Generate SAP and other system reports as required.
  • Ensure compliance with all corporate accounting policies, procedures, and guidelines.
  • Review and monitor open purchase order reports to ensure accuracy and validity.
  • Reconcile vendor statements of account and resolve discrepancies.
  • Assist with general Accounts Payable activities and administrative support functions.
  • Establish and maintain positive working relationships with vendors and service providers.
  • Perform other duties and special projects as assigned.

Qualifications:

  • 1–2 years of purchasing experience combined with general accounting or Accounts Payable experience.
  • Manufacturing industry experience is considered an asset.
  • 2–3 years of experience developing and maintaining strong relationships with vendors and service providers.
  • Experience using SAP or a similar ERP system.
  • High school diploma or equivalent; post-secondary business or college coursework is an asset.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Strong data entry and administrative skills with a high degree of accuracy.
  • Excellent organizational and time management abilities.
  • Strong communication and problem-solving skills.
  • Bilingualism in English and French is considered an asset.
