We are seeking a professional, organized, and customer-focused Office Assistant to provide front office, administrative, and operational support within a fast-paced travel services environment. This position serves as a central resource for multiple teams by supporting daily office operations, assisting clients, coordinating travel-related documentation, and helping ensure exceptional customer experiences.
The ideal candidate is detail-oriented, dependable, and proactive, with strong communication and organizational skills. This role requires the ability to manage multiple priorities, maintain confidentiality, and provide excellent service to clients, vendors, and internal teams.
This is a 100% in-office position. Candidates must reside within commuting distance of Lynnwood.
Responsibilities
- Serve as the primary front desk contact by answering phones, greeting clients, vendors, and visitors, and managing incoming communications
- Support daily office operations, including document preparation, postage and shipping, office supply management, calendar coordination, and scheduling vendor meetings
- Deliver exceptional customer service through phone, email, and in-person interactions
- Assist with client inquiries and coordinate with internal teams to ensure timely resolution
- Maintain customer records and organize client information, including travel itineraries, hotel rooming lists, ground transportation details, and client preferences
- Accurately prepare and maintain travel-related documents and records
- Organize office events and employee activities, including team meetings, vendor visits, company lunches, and employee recognition events
- Maintain confidentiality and exercise professionalism in all interactions
- Support special projects and additional administrative tasks as assigned
Qualifications / Requirements
- Previous experience in office administration, administrative support, customer service, or a related role required
- Experience in hospitality, travel, or a related industry preferred
- Professional demeanor with a positive attitude and strong sense of accountability
- Excellent organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines
- Strong verbal and written communication skills
- Proven ability to think critically, solve problems, and follow through on tasks independently
- Ability to handle sensitive information with discretion and confidentiality
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams
- Experience with CRM systems or Smartsheet is a plus
- Must be comfortable working in a fast-paced, team-oriented environment
- Must reside within commuting distance of Lynnwood
- Ability to travel up to 5% as needed
- Must be legally authorized to work in the United States
- Ability to pass a background check
