Admin Scheduler

 

Wage: $23.00–$25.00 DOE

Schedule: Monday-Friday; 7am-4pm or 7am-2pm

Hours: 6‑hour shifts in Winter; 8‑hour shifts in Summer

Overview:

We’re looking for a dependable, detail‑oriented scheduler to support our team and keep daily operations running smoothly. This role is ideal for someone who enjoys being organized, communicating with customers, and helping technicians and installers stay on track throughout the day.

You’ll be joining a locally respected company that has been a staple in the Central Oregon community for decades. The team is known for its supportive culture, strong customer‑service values, and ability to stay calm under pressure.

 

Key Responsibilities:

Scheduling & Daily Operations

  • Schedule installation and service jobs
  • Call customers to confirm next‑day appointments
  • Confirm the next day’s schedule by 11:00 AM
  • Prepare paperwork packets for technicians and installers
  • Schedule inspections with the City of Bend and coordinate with inspectors
  • Manage daily schedules and review open service orders
  • Update and edit invoices for completed jobs

Customer Service & Administrative Support

  • • Review and return phone calls while managing daily email communication
  • Answer incoming calls and open new service requests
  • Provide clear, friendly communication to customers, contractors, and internal staff
  • Process daily paperwork and apply payments
  • Send receipts, service orders, and invoices to customers and contractors
  • Track invoices and follow up as needed
  • Support general administrative tasks to keep daily operations running smoothly

 

Skills & Requirements

  • Strong scheduling experience is required
  • Confident coordinating daily schedules and managing multiple moving parts
  • Tech‑savvy and comfortable learning new systems
  • Accurate with reviewing service orders and updating invoices
  • Excellent communication skills
  • Highly organized with strong attention to detail and follow‑through
  • Able to multitask and quickly refocus after interruptions
  • Steady, positive approach in fast‑paced or stressful situations
  • Strong customer service skills, including handling difficult situations professionally
  • Quick thinker who adapts smoothly to changing needs
  • Reliable, adaptable, and comfortable supporting a busy team
