Position Summary

The Receptionist is responsible for serving as the first point of contact for clients and visitors, providing exceptional customer service and administrative support in a Medicare insurance agency environment. This position assists clients with inquiries, schedules appointments, manages office communications, and supports daily operations to ensure a positive client experience.

Key Responsibilities

Front Desk Operations: Greet clients, visitors, and vendors in a professional and welcoming manner.

Phone Management: Answer incoming calls, direct inquiries to appropriate staff, take messages, and provide general information regarding agency services.

Client Support: Assist clients with appointment scheduling, paperwork, and general questions while maintaining a high level of customer service.

Scheduling: Coordinate appointments, consultations, meetings, and calendar updates for agency staff.

Administrative Support: Perform general clerical duties including filing, scanning, copying, data entry, and document preparation.

Records Management: Maintain accurate client records and ensure all documentation is organized and updated in accordance with agency procedures.

Mail Handling: Receive, sort, and distribute incoming mail and prepare outgoing correspondence.

Office Organization: Monitor office supplies, maintain reception area appearance, and assist with overall office organization.

Communication Support: Facilitate communication between clients, insurance agents, healthcare providers, and staff as needed.

Confidentiality: Handle sensitive client information with discretion and maintain compliance with privacy regulations.

Requirements

Experience: One (1) year of receptionist, customer service, administrative assistant, healthcare office, insurance office, or related experience preferred.

Computer Skills: Proficient in Microsoft Office Suite, email systems, and general office software.

Communication: Strong verbal and written communication skills with a professional and friendly demeanor.

Customer Service: Excellent interpersonal skills and ability to work effectively with Medicare beneficiaries and their families.

Organization: Strong organizational and multitasking abilities.

Attention to Detail: Ability to accurately maintain records and process client information.

Time Management: Ability to prioritize tasks and work efficiently in a fast-paced environment.

Professionalism: Dependable, punctual, and committed to providing exceptional customer service.

Confidentiality: Ability to handle sensitive personal and insurance-related information with discretion.

Education: High school diploma or equivalent required.
