Position Summary

The Legal Secretary is responsible for providing administrative and clerical support to attorneys and legal staff by preparing legal documents, managing schedules, maintaining case files, and facilitating communication with clients and courts. This position requires exceptional organizational skills, professionalism, attention to detail, and the ability to work efficiently in a fast-paced legal environment.

Key Responsibilities

Document Preparation: Draft, format, proofread, and file legal correspondence, pleadings, motions, and other legal documents.

File Management: Maintain and organize physical and electronic case files, ensuring all documentation is accurate and up to date.

Client Communication: Answer incoming calls, schedule appointments, communicate with clients, and relay information to attorneys as needed.

Scheduling: Coordinate attorney calendars, court appearances, meetings, depositions, and other legal proceedings.

Court Filings: Prepare and submit documents through electronic filing systems and ensure compliance with court requirements and deadlines.

Records Management: Request, receive, and organize records, reports, and supporting case documentation.

Administrative Support: Handle general office duties including data entry, copying, scanning, mailing, and correspondence management.

Deadline Tracking: Monitor important case deadlines, hearing dates, and filing requirements to ensure timely completion of tasks.

Confidentiality: Maintain strict confidentiality of client information and legal matters.

Requirements

Experience: One (1) year of legal secretary, administrative assistant, office support, or related experience preferred.

Computer Skills: Proficient in Microsoft Office Suite, electronic filing systems, and legal case management software.

Communication: Strong verbal and written communication skills with a professional demeanor.

Organization: Excellent organizational and multitasking abilities.

Attention to Detail: Ability to produce accurate work and maintain detailed records.

Time Management: Ability to prioritize tasks, manage competing demands, and meet deadlines.

Professionalism: Ability to interact professionally with clients, attorneys, court personnel, and staff.

Confidentiality: Ability to handle sensitive and confidential information with discretion.

Education: High school diploma or equivalent required; legal secretary training or related coursework preferred.
