We are seeking a highly organized, detail-oriented Office Support & Data Entry Associate to manage fast-paced administrative operations, maintain accurate financial and operational records, and support daily office efficiency. This role requires strong multitasking skills, daily use of Excel, frequent work in QuickBooks, and consistent professional communication via email and phone.

 

Key Responsibilities

  • Perform accurate, high-volume data entry across internal systems and databases daily
  • Process Invoices, purchase orders, and expense reports using QuickBooks
  • Reconcile accounts and generate financial and operational reports within QuickBooks
  • Work extensively in Microsoft Excel daily, including reviewing, updating, and maintaining spreadsheets
  • Create, format, and maintain documents, spreadsheets, and presentations using Microsoft Word, Excel, and PowerPoint
  • Manage calendars, schedule meetings, and coordinate appointments using Microsoft Outlook
  • Respond promptly and professionally to a high volume of emails and correspondence
  • Handle incoming phone calls and internal/external communications in a professional manner
  • Organize and maintain digital and physical filing systems
  • Assist with inventory tracking, supply ordering, and vendor communications
  • Support team members with various administrative tasks in a fast paced dealine enviornment

Required Skills and Qualifications

  • 1-2 years of experience in office support, data entry, or administrative roles
  • Strong multitasking skills with the ability to prioritize multiple tasks simultaneously
  • Proven experience working daily in Excel and QuickBooks is required
  • Proficiency in QuickBooks (invoicing, accounts payable/receivable, reporting)
  • Strong Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Fast and accurate typing skills
  • Excellent attention to detail and organizational abilities
  • Strong written and verbal communications
  • Ability to handle sensitive and confidential information with discretion
  • Ability to thrive in a high-paced office environment

Qualifications

  • Experience with QuickBooks Online or QuickBooks Desktop (Enterprise)
  • Advanced Excel Skills including pivot tables, VLOOKUP, and data validation
  • Familiarity with CRM and ERP systems
  • Bilingual proficiency is a plus.
