Job Overview
We are seeking a detail-oriented and organized Office Assistant to support our clients administrative team ats the Kitchener location. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and ensuring smooth communication across departments. This role offers an opportunity to work in a professional environment where organizational skills and proficiency with office software are highly valued.

The Shift is Monday to Friday 8:30am-5:00pm

Duties

  • Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Handle filing, document proofreading, and general clerical tasks to support daily office functions
  • Assist with bookkeeping and basic accounting tasks as needed
  • Provide customer support through phone, email, and in-person interactions
  • Support medical or dental office operations by managing appointment scheduling and patient records (if applicable)
  • Coordinate administrative tasks such as mail distribution, supply ordering, and calendar management
  • Maintain organization of digital and physical files to ensure easy retrieval of documents

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with QuickBooks or bookkeeping software is preferred
  • Strong data entry skills with high accuracy and attention to detail
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Previous clerical or administrative experience, including front desk duties or medical/dental office experience is a plus
  • Exceptional customer service skills coupled with professional phone etiquette for handling inquiries via multi-line phone systems
  • Ability to proofread documents thoroughly and perform accurate filing systems
  • Strong computer skills including familiarity with office equipment and basic troubleshooting
  • Ability to work independently while supporting team objectives efficiently
