Procurement & Purchasing Operations
1. Meet the demand for procurement by issuing POs for goods, materials, and services for inventory, production, and part sales in a timely and cost-effective manner.
2. Prepare and administer requests for quotes, requests for proposal, requests for information, travelers, and work closely with suppliers both internal & external.
3. Identify and approve new suppliers and maintain the approved supplier database.
4. Manage inbound freight of purchases.
Supplier Management & Communication
1. Negotiate terms and conditions with suppliers.
2. Contact suppliers regarding errors in partial or duplicate shipments, prices, and substitutions.
3. Communicate with the warehouse to ensure rapid delivery and reception of goods and/or services.
4. Receive and handle confirmations from vendors; verify that the information on the confirmation is for agreed-upon prices, products, shipment date, and shipping method.
5. Negotiate return of items to vendors and coordinate subsequent credits or replacements.
Issue Resolution & Problem Solving
1. Identify discrepancies between shipments and orders and take action. Communicate all delays or variances of inbound freight to the appropriate parties.
2. Investigate and resolve invoice discrepancies using diplomacy and tact with vendors and service providers. Coordinate with AP.
3. Advise of lead times required to obtain products or services and expedite where required.
4. Make recommendations and suggest options regarding material shortages.
5. Make alternate arrangements in the event of shortages or delayed deliveries to minimize impact on the organization.
Compliance & Process Adherence
1. Identify and approve new suppliers and maintain the approved supplier database.
2. Adhere to and enforce compliance with purchasing policies, procedures, regulations, and laws.
Reporting & Continuous Improvement
1. Remain up to date on pricing trends, changes, and restrictions that could affect purchasing.
2. Attend team meetings to provide assistance in resolving issues, reviewing progress, and ensuring assignment of new tasks.
3. Actively participate in identifying areas of opportunity and barriers for effective performance
