School Administrator
Location: Wauconda, IL (on-site at church office)
Pay: $23–$27/hour + benefits
Schedule: Approximately 30 hours/week (flexible within 8:00 AM – 5:00 PM, 5–6 hours/day)
We are seeking a detail-oriented and highly organized School Administrator to support the daily financial and administrative operations of a non-profit preschool program (501(c)(3)). This role is critical in managing tuition processing, payroll tracking, and financial recordkeeping.
This is a temp-to-hire opportunity with immediate need, ideal for someone comfortable working in a small, collaborative, mission-driven environment with flexible scheduling.
Key Responsibilities:
Financial & Administrative Operations
- Post and manage student enrollment records and tuition payments
- Track tuition billing, including advances, adjustments, and refunds
- Maintain accurate financial records using QuickBooks
- Assist with budgeting and financial tracking in Excel
- Prepare and record payroll entries (non-full-service payroll)
- Coordinate payroll tax filings with Illinois state systems and IRS requirements
Accounting & Systems
- Utilize QuickBooks (desktop; transition to online expected)
- Create and maintain Excel spreadsheets for financial tracking and reporting
- Ensure accurate data entry and reconciliation of accounts
Operational Support
- Answer phones and assist parents with a professional, family-friendly approach
- Support general office operations and communication
- Collaborate with leadership and treasury team on financial processes
Reporting Structure
- Reports to Acting Director (Pastor) and Director of Family Ministries
- Works closely with church leadership and treasury team
Qualifications:
Required:
- Experience with QuickBooks (payroll entry and financial tracking)
- Strong Excel skills; ability to create and manage detailed spreadsheets
- High attention to detail and strong organizational skills
- Ability to manage multiple tasks and prioritize workflow effectively
- Professional communication and customer service skills
Preferred:
- Experience in a school, church, or nonprofit setting
- Knowledge of basic payroll tax processes and reporting
Soft Skills
- Team-oriented and collaborative in a back-office environment
- Comfortable interacting with parents and staff
- Professional, approachable, and service-minded demeanor
Additional Information
- Opportunity to gain check signing authority as the role progresses
