Express Employment Professionals is recruiting on behalf of a respected not-for-profit organization in Guelph for a Part-Time Office Coordinator. This role is ideal for an organized, service-oriented professional who enjoys variety in their work and thrives in a collaborative environment.
Reporting to the Director of Operations, the Office Coordinator provides ongoing administrative support across the organization while serving as the first point of contact for visitors, clients, and staff. This individual plays a key role in ensuring smooth office operations and creating a welcoming, professional experience for everyone who interacts with the organization.
Key Responsibilities
Reception & Office Operations
- Maintain the reception area and mail room
- Welcome visitors and answer incoming inquiries in a professional and friendly manner
- Manage office equipment and coordinate maintenance as needed
- Coordinate office supply purchasing, inventory management, and restocking
- Sort and distribute incoming mail and shipments
- Manage staff room supplies, refreshments, and consumables
- Order supplies for organizational facilities and programs
- Coordinate sales and inventory of merchandise sold through reception
- Serve as a liaison with IT consultants and assist with computer, phone, and email account administration
Human Resources Support
- Assist with job postings and applicant screening activities
- Maintain employee records and documentation while ensuring confidentiality
- Support new employee onboarding and completion of required paperwork
- Track employee vacation and sick time submissions
Administrative & Event Coordination
- Coordinate private facility bookings
- Assist with ticket sales and seating arrangements for special events
- Attend and participate in staff meetings and organizational functions
- Provide administrative support for various projects and initiatives
- Assist external groups with facility setup and teardown requirements
Departmental Support
- Support the Communications Manager and other departments as required
- Prepare and submit monthly reporting requirements
- Assist with database maintenance and accuracy
- Coordinate employee First Aid certification renewals
Qualifications
- Previous experience in an office administration, office coordinator, or similar role
- Proficiency with Microsoft Office Suite, Microsoft 365, Outlook, Excel, and Google Workspace
- Strong organizational, prioritization, and time-management skills
- Excellent problem-solving and decision-making abilities
- Exceptional verbal and written communication skills
- Ability to maintain confidentiality, professionalism, and discretion
- Comfortable managing multiple responsibilities in a fast-paced environment
- Experience working within a community-based or not-for-profit organization is considered an asset
Schedule
- Monday to Friday
- 8:30AM-1:30PM
- In-office role
