Salary: $22.50 / hour

Our exclusive client, a boutique construction company located in Ottawa’s south end, is seeking a dependable and well-organized Administrative Assistant to join their team on a full-time basis. In this key role, you will provide essential administrative support to the Business Manager and leadership team, contributing directly to the company’s day-to-day operations and overall success.

Duties may include, but are not limited to:

  • Managing and responding to incoming emails in a timely manner
  • Entering invoices and expenses accurately into QuickBooks Online (QBO)
  • Generating and analyzing financial and operational reports
  • Coordinating and distributing mass communications to employees
  • Maintaining organized filing systems and accurate recordkeeping
  • Scheduling and booking meetings for staff and management
  • Providing administrative support to a management team of three
  • Delivering office supplies and materials to job sites as needed
  • Requesting, collecting, and following up on information from employees
  • Tracking and managing inventory levels
  • Monitoring and updating fleet maintenance schedules
  • Other administrative support tasks as required

Required skills and qualifications:

  • 1-2 years of administrative experience is preferred
  • Recent graduates with relevant education and/or training will be considered
  • Strong English communication skills (verbal and written)
  • Must have access to a reliable vehicle (not bus accessible)
  • Proficiency with software applications and strong ability to learn new ones quickly
  • QuickBooks Online experience considered a strong asset
  • Ability to thrive in a fast-paced work environment
  • Excellent organizational and time management skills
  • Ability to work both independently and collaboratively within a team
  • Capable of multitasking, pivoting between tasks efficiently, and returning to priorities as needed
  • Strong work ethic with a proactive and positive attitude
  • Resourceful and able to problem-solve with minimal supervision
  • Eager to learn, grow, and contribute to the team long-term
  • Comfortable working with direct and blunt communication styles
  • High level of professionalism, integrity, and trustworthiness

Work Schedule: Monday to Friday – 8:00 AM to 4:30 PM.

Starting Wage: $22.50 per hour ($46,800 per year)
