Front Office Coordinator

Full-Time | $18–$20/hour
Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Position Overview

We are seeking a professional and friendly Front Office Coordinator to create a positive first impression for all visitors, applicants, and callers. This role is the face and voice of the office, responsible for delivering excellent customer service while supporting recruiting, administrative, and office operations. The ideal candidate will be able to work in a fast-paced environment, handle multiple duties at one time, and be able to work as part of a team.

Key Responsibilities

Customer Service & Front Desk

  • Greet all visitors and applicants promptly with a warm, welcoming attitude
  • Answer all incoming calls by the third ring in a professional and courteous manner
  • Determine caller needs, answer questions, resolve issues, or route calls appropriately
  • Ensure all in-person, phone, and electronic interactions reflect a positive company image
  • Maintain a clean, organized, and professional office environment

Applicant & Recruiting Support

  • Review and respond to online applications daily
  • Document all applicant information accurately in the automated system
  • Manage applicant flow and coordinate interviews with Employment Specialists
  • Maintain a high ratio of scheduled interviews to completed interviews
  • Administer skills evaluations and assist applicants with completion
  • Support recruiting efforts and participate in outreach activities
  • Manage job postings on our website, job boards, and social media.

Administrative Duties

  • Enter applicant data into the system accurately and in a timely manner
  • File applications and maintain confidential records
  • Prepare correspondence, mailings, and maintain mailing lists
  • Ensure office supplies and forms are stocked and organized
  • Provide general administrative support to the office team

Sales & Business Development Support

  • Convert employment verification calls into recruiting or sales opportunities
  • Support inside sales efforts as needed
  • Develop knowledge of staffing services and company offerings

Additional Duties

  • Document 100% of inquiry calls in the system
  • Collect timecards and assist with payroll processing (if applicable)
  • Follow company systems, guidelines, and applicable legal requirements
  • Perform other duties as assigned

Qualifications

  • Strong communication and customer service skills
  • Ability to multitask and stay organized in a fast-paced environment
  • Professional demeanor and positive attitude
  • Basic computer and data entry skills
  • Ability to maintain confidentiality and handle sensitive information
  • Experience in a customer-facing role, such as Restaurants, Baristas or Retail Associates, PREFERRED
  • Bilingual in Spanish/English is a PLUS
