Position Summary

The Office Manager is responsible for overseeing the daily administrative operations of the office and ensuring efficient workflow across all departments. This role supports agency leadership by managing office personnel, maintaining compliance with healthcare regulations, coordinating administrative functions, and promoting a positive and productive work environment. The Office Manager plays a key role in operational excellence, employee support, quality improvement initiatives, and patient satisfaction.

Essential Duties and Responsibilities

Administrative & Operational Management

  • Oversee daily office operations to ensure smooth and efficient workflow.
  • Manage front desk activities, patient scheduling, and administrative processes.
  • Monitor office systems and address data entry issues, compliance concerns, and operational errors.
  • Direct telephone operations and ensure professional customer service.
  • Maintain office equipment, copier systems, phone systems, and technology resources.
  • Order office supplies and maintain inventory as needed.
  • Prepare, update, and distribute office packets, forms, policies, and procedures.
  • Generate and analyze departmental performance reports.
  • Assist with payroll processing as needed.

Staff Supervision & Human Resources Support

  • Hire, train, supervise, and support administrative personnel.
  • Assist with employee relations, scheduling, and conflict resolution.
  • Conduct employee performance evaluations and provide coaching.
  • Support HR functions, including employee benefits, health insurance, and personnel records.
  • Coordinate employee orientations, continuing education, and training programs.
  • Promote a positive, patient-centered workplace culture.
  • Assist leadership with disciplinary actions and grievance procedures.

Compliance & Quality Assurance

  • Ensure compliance with all applicable healthcare regulations and company policies.
  • Maintain accurate employee and operational records.
  • Assist with audit preparation, inspections, and accreditation reviews.
  • Support quality improvement initiatives and identify opportunities for process enhancements.
  • Monitor patient satisfaction and assist in resolving concerns or complaints.
  • Participate in ongoing quality assurance and performance improvement activities.

Leadership & Strategic Support

  • Collaborate with agency leadership to achieve organizational goals and objectives.
  • Attend management meetings as required.
  • Assist with branch growth initiatives and service expansion efforts.
  • Implement improved work methods and operational procedures.
  • Foster teamwork and maintain professional relationships throughout the organization.

Qualifications

Education

  • High School Diploma or GED required.
  • College coursework or degree in Business Administration, Healthcare Administration, or a related field preferred.

Experience

  • Minimum of 2 years of experience in a healthcare or office management setting preferred.
  • Previous supervisory or leadership experience preferred.
  • Experience with Medicaid, healthcare administration, or home health operations is a plus.

Knowledge, Skills, and Abilities

  • Strong leadership and team management skills.
  • Excellent organizational and time-management abilities.
  • Knowledge of healthcare regulations and compliance requirements.
  • Strong communication and problem-solving skills.
  • Proficiency in Microsoft Office and office management software.
  • Ability to work independently and manage multiple priorities.
  • Knowledge of medical terminology preferred.
  • Bilingual (English/Spanish) preferred.
