Position Summary
The HR Administrator is responsible for supporting daily Human Resources operations, including payroll processing, recruitment coordination, employee relations, workers’ compensation administration, and general HR compliance. This role ensures smooth HR workflows and accurate recordkeeping while supporting both employees and management.
Key Responsibilities
1. Payroll Administration
- Assist with payroll processing on a weekly/bi-weekly basis
- Review and verify employee timecards and attendance records
- Coordinate with payroll providers to ensure accurate and timely payments
- Handle payroll adjustments, corrections, and final pay calculations
- Maintain payroll records in compliance with company policies and labor laws
2. Recruitment & Interview Support
- Coordinate and schedule interviews with candidates and hiring managers
- Assist in screening resumes and initial candidate communication
- Conduct or participate in interviews when required
- Prepare offer letters and onboarding documents
- Support new hire onboarding and orientation processes
3. Workers’ Compensation & Safety Support
- Assist in reporting and documenting workplace injuries
- Coordinate with insurance providers and claims adjusters
- Maintain workers’ compensation files and follow-up records
- Support return-to-work programs and restricted duty assignments
- Ensure compliance with OSHA and workplace safety reporting requirements
4. HR Administration & Employee Relations
- Maintain employee personnel files and HR databases
- Assist with employee inquiries regarding policies, benefits, and procedures
- Support disciplinary documentation and attendance tracking
- Ensure compliance with labor laws, company policies, and HR procedures
- Assist in drafting HR notices, memos, and internal communications
5. Compliance & Reporting
- Support audits and HR compliance reviews
- Assist in maintaining required workplace postings and documentation
- Help ensure adherence to federal, state, and local labor regulations
- Prepare HR reports as requested by management
Qualifications
- Previous experience in Human Resources or HR Administrative role preferred
- Knowledge of payroll systems and basic accounting principles
- Familiarity with California labor laws (or applicable local regulations) preferred
- Strong organizational and communication skills
- Ability to handle confidential information with professionalism
- Proficient in Microsoft Office (Excel, Word, Outlook) or HR systems
Preferred Skills
- Experience with workers’ compensation case handling
- Experience in manufacturing or industrial workforce environments
- Bilingual ability (English/Spanish) is a plus
- Strong attention to detail and problem-solving skills
