Salary: $20.00 - $25.00/Hour

Our client, a well-established financial planning office, is seeking a full-time Administrative Assistant to support and assist with the day-to-day operations of a busy client-focused practice. This opportunity is ideal for someone who is highly organized, detail-oriented, professional, and enjoys working in a fast-paced environment with strong client interaction.

 

Key Responsibilities:

  • Manage calendars, scheduling, and client communication
  • Prepare client meeting packages and documentation
  • Maintain organized digital and physical client files
  • Support account administration, transfers, and client paperwork
  • Support client file maintenance and ensure documentation is accurate and up to date
  • Assist with compliance updates and administrative follow-ups
  • Maintain accurate records and ensure documentation is complete
  • Provide support with investment administration and trade processing
  • Assist with RRSP, TFSA, and general account maintenance
  • Support reporting, statements, and administrative workflows
  • Assist with client appreciation events and occasional office event coordination
  • Coordinate marketing material orders and general office supplies
  • Provide occasional support with client communications, newsletters, or social media initiatives
  • Provide general administrative and office support as needed

 

Qualifications:

  • Strong attention to detail and accuracy
  • Excellent organizational, multitasking, and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Calm under pressure and not easily overwhelmed
  • Strong problem-solving and logical thinking abilities
  • Professional, welcoming, and client-focused communication style
  • Dependable, flexible, and team-oriented
  • Basic understanding of RRSPs, TFSAs, and investment terminology

 

Preferred Experience:

  • Administrative experience within:
  • financial services
  • wealth management
  • banking
  • insurance
  • professional office environments
  • Experience with compliance-related administrative tasks is considered an asset
  • Experience with Univeris is an asset but not required

 

Wage: $20.00 - $25.00/Hour
