Position Summary
The Human Resources Assistant provides administrative and operational support to the HR department in a fast-paced manufacturing environment. This role supports daily HR activities including recruiting, onboarding, employee relations, compliance, and recordkeeping — helping ensure that employees and HR processes run smoothly on the plant floor and in the office.
Essential Duties and Responsibilities
Recruitment & Onboarding
- Coordinate job postings for hourly and salaried manufacturing positions across job boards, temporary agencies, and internal channels.
- Screen applications, schedule interviews, and communicate with candidates throughout the hiring process.
- Facilitate new employee onboarding including orientation, I-9 verification, badge setup, and safety training enrollment.
- Maintain relationships with staffing agencies to support fluctuating production workforce needs.
Employee Records & HRIS
- Maintain accurate and up-to-date employee files (physical and digital) in compliance with federal, state, and company requirements.
- Enter and update employee data in the HRIS system (hires, terminations, status changes, pay changes).
- Prepare and process paperwork related to leave of absence (FMLA, medical, personal), benefits enrollment, and disciplinary actions.
Employee Relations, Training & Communications
- Coordinate and document employee training programs and related records.
- Serve as a first point of contact for employees and supervisors regarding HR policies, procedures, and general inquiries.
- Assist in scheduling and documenting employee disciplinary meetings, investigations, and performance reviews.
- Help communicate plant-wide HR initiatives, open enrollment deadlines, and policy updates.
Compliance & Safety Support
- Support compliance with OSHA, EEOC, ADA, and other applicable labor regulations in a manufacturing context.
- Assist with workers’ compensation reporting, tracking, and coordination with supervisors and insurance carriers.
- Help maintain training records for mandatory safety certifications and compliance programs.
Payroll & Benefits Support
- Process time and attendance corrections in coordination with supervisors and payroll.
- Assist employees with benefits questions and direct them to appropriate resources.
- Support open enrollment processes and benefits administration.
General HR Administration
- Prepare HR reports, org charts, and metrics such as turnover, headcount, and absenteeism.
- Order and maintain HR office supplies and manage department filing systems.
- Support HR projects, audits, and special initiatives as assigned.
Qualifications
Education & Experience
- Associate or bachelor’s degree in human resources, Business Administration, or a related field preferred; equivalent experience considered.
- 1–3 years of HR administrative experience; experience in a manufacturing, industrial, or distribution environment strongly preferred.
Skills & Competencies
- Working knowledge of employment law and HR best practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with an HRIS system (ADP, Workday, Paylocity, or similar) preferred.
- Strong organizational skills with the ability to manage multiple priorities in a high-volume environment.
- Excellent verbal and written communication skills; ability to interact professionally with employees at all levels.
- High degree of discretion and confidentiality when managing sensitive personnel matters.
- Bilingual (English/Spanish) a plus in diverse manufacturing settings.
Compensation & Benefits
This position is temporary to permanent. Competitive entry-level hourly rate range $24.00–$28.00 per hour depending on experience. Upon full-time hire, we offer a comprehensive benefits package including:

Work Environment & Physical Requirements
- Primarily office-based within a manufacturing facility, with regular visits to the production floor required.
- Exposure to typical manufacturing environment conditions (noise, machinery) during floor visits.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to occasionally lift to 15 lbs. (filing, office supplies).
