Administrative Assistant

Summary:
Manages day to day administrative and support functions throughout the branch, including operations support, office management, greeting visitors, managing petty cash, and providing general support to branch and warehouse management staff.
Responsibilities:
• Act as liaison between the branch and Customer Care department
• Process daily paperwork and submit documentation electronically to the accounting group
• File original Bills of Lading (BoL) and process pink copy documentation
• Enter required BoL data into the Chempax system accurately and timely
• Create, modify, and upload CoA/CoC documents into Chempax
• Create and distribute Open Order reports to section chiefs and branch leadership
• Process Nitric 99 drum inspection documents and maintain filing requirements
• Order and maintain inventory of office and warehouse supplies
• Provide administrative support to the Branch Manager and management staff
• Participate as an active member of the branch EOS team
• Maintain customer specific tracking spreadsheets and provide billing support information to Accounting
• Maximize office productivity through efficient use of software applications
• Maintain records in compliance with company and governmental retention requirements
• Review clerical records for accuracy, completeness, and timely processing
• Prepare daily activity reports for section chiefs and management
• Provide proof of delivery and support documents to customers as requested
• Manage and maintain petty cash functions
• Communicate effectively with customers, management, warehouse staff, and internal departments
Requirements/Qualifications:
• High school diploma required; some college coursework preferred
• Minimum of 5 years of administrative support experience required
• Manufacturing or plant environment experience highly preferred
• Chemical industry experience preferred
• Strong written communication and business correspondence skills
• Proficient in Microsoft Office Suite and Adobe products
• Excellent verbal communication and customer service skills
• Ability to multitask and prioritize in a fast paced environment
• Strong attention to detail and organizational skills
• Ability to work independently and collaboratively with multiple departments
