Position Summary

We are seeking a reliable and organized Administrative Assistant to support daily operations within a fast-paced social services environment. This role provides direct support to program clients, many of whom may be experiencing homelessness or barriers to service engagement. The Administrative Assistant will help coordinate basic services, maintain office operations, provide clerical support, assist with data entry and reporting, and support staff in delivering client-centered services.

The ideal candidate will have strong administrative experience, excellent communication skills, and solid Microsoft Excel experience.

Minimum Qualifications

Education & Experience

  • High School Diploma or GED required.
  • Minimum of four years of experience in an office or administrative support role.
  • Equivalent combinations of education and experience may be considered.

Certifications & Requirements

  • Ability to pass a comprehensive background screening prior to employment.
  • Basic Life Support/First Aid Certification required within 30 days of hire.
  • Food Handler’s Card, or ability to obtain within 30 days.
  • Ability to pass pre-employment and random drug screenings.

Preferred Qualifications

  • Experience working in a social services or nonprofit environment.
  • Experience working with homeless or at-risk populations preferred.
  • Knowledge of trauma-informed care and client-centered service approaches.

Required Skills & Abilities

  • Strong Microsoft Office skills, especially Microsoft Excel, Outlook, Word, and Teams.
  • Experience with data entry, spreadsheets, reporting, and maintaining accurate records.
  • Comfortable using videoconferencing platforms and database systems.
  • Strong written and verbal communication skills with professional email etiquette.
  • Excellent organization, multitasking, and time management abilities.
  • Ability to remain calm and professional in high-stress or fast-paced situations.
  • Strong problem-solving and customer service skills.
  • Ability to maintain confidentiality and professional boundaries.

Essential Duties & Responsibilities

  • Provide administrative and clerical support to program staff and daily operations.
  • Answer phones, greet visitors, and direct clients to appropriate services.
  • Process incoming and outgoing mail and maintain organized filing systems.
  • Assist with ordering, inventory tracking, and distribution of office and program supplies.
  • Maintain accurate records, data collection, and data entry into internal systems and HMIS databases.
  • Support audits, reporting, and compliance documentation.
  • Assist with writing and updating policies and procedures.
  • Help maintain a clean, organized, and safe environment for clients, staff, and volunteers.
  • Support front desk and reception coverage as needed.
  • Assist with meal preparation, cleaning, laundry, and other operational support tasks when necessary.
  • Participate in community outreach activities and program support initiatives.
  • Provide respectful, trauma-informed, and client-centered customer service at all times.
  • Assist in de-escalating challenging situations while maintaining professionalism and composure.
  • Follow all workplace safety, attendance, and personnel policies.

Physical Requirements

  • Ability to regularly lift up to 25 pounds and occasionally up to 50 pounds.
  • Ability to sit, stand, bend, and move throughout the workday.
  • Manual dexterity to operate office equipment and computers.
  • Ability to work both indoors and outdoors in varying weather conditions.

Work Environment

  • Fast-paced environment with frequent interruptions and changing priorities.
  • Regular interaction with individuals experiencing homelessness, mental health challenges, substance use disorders, or other barriers to stability.
  • Requires professionalism, flexibility, compassion, and the ability to remain calm under pressure.
