Accounts Payable / Administrative Clerk (Part-Time)

Location: Oxnard, CA
Pay: $21–$23 per hour
Schedule Options:

  • Monday–Thursday | 8:30 AM – 4:00 PM (7-hour day with lunch)
  • Monday–Thursday | 9:00 AM – 4:30 PM (7-hour day with lunch)
  • Monday–Thursday | 9:00 AM – 3:00 PM (6-hour day, no lunch)

A well-established company in the Oxnard area is seeking a detail-oriented and dependable Accounts Payable / Administrative Clerk to support accounting and administrative operations. This role is ideal for someone with strong organizational skills, prior AP experience, and the ability to work effectively in a fast-paced environment.

Key Responsibilities

Accounts Payable

  • Open, organize, and process invoices and statements received by mail and email
  • Obtain department approvals for invoices
  • Match invoices to purchase orders and packing slips when applicable
  • Enter invoices into accounting systems including QuickBooks, Esker, and AccountMate
  • Research vendor statements and respond to vendor inquiries
  • Maintain vendor records and 1099 status information
  • Process weekly check runs and match check stubs to invoices
  • Prepare and submit positive pay files
  • Process employee expense reports and receipts
  • Maintain AP files and records
  • Complete vendor credit applications and new vendor setup

Accounts Receivable / Retail Support

  • Process and match retail invoices from multiple locations
  • Run weekly AR aging reports and verify invoice documentation
  • Coordinate approvals and payment processing for retail-related invoices
  • File and maintain retail invoice records

Administrative Support

  • Answer phone calls and emails professionally
  • Assist with bank deposits and obtaining change when needed
  • Shred confidential documents
  • Support the Controller and accounting department with additional duties as assigned

Qualifications

  • High school diploma or GED required
  • Minimum 3 years of related accounting or administrative experience
  • Experience with accounts payable processes and accounting systems preferred
  • Proficiency in Microsoft Office Suite, especially Excel and Word
  • Ability to type at least 50 WPM
  • Strong organizational, communication, and problem-solving skills
  • Professional demeanor with the ability to maintain confidentiality
  • Excellent customer service and phone etiquette
  • Dependable, adaptable, and detail-oriented
