Accounting – Entry-Level Accountant (Construction Company)

Location: Ocala, FL
Pay Rate: $20–$25per hour
Schedule: Monday–Friday, 8:00 AM–5:00 PM


Job Title: Entry-Level Accountant

Job Summary

The Entry-Level Accountant / Accounting & Administrative Assistant supports the accounting department with daily accounts payable processing, job costing, and basic accounting functions while also assisting with general administrative and office support tasks. This role is ideal for a detail-oriented, organized individual seeking to build a foundation in construction accounting while contributing to overall office operations.


Key Responsibilities

Accounts Payable & Accounting Support

  • Receive, review, and enter vendor invoices into the accounting system

  • Match invoices to purchase orders, packing slips, and/or receiving documentation

  • Verify pricing, quantities, and terms

  • Code invoices to correct jobs, phases, and cost codes

  • Assist with correcting miscoded transactions

  • Resolve invoice discrepancies with vendors and internal teams

  • Prepare weekly AP check runs / ACH batches

  • Ensure invoices are properly approved prior to payment

  • Maintain organized digital and physical invoice files

  • Assist with monthly AP reconciliations and month-end close support


Job Costing & Construction Accounting Support

  • Support project managers with invoice and job cost questions

  • Maintain clean job cost data through accurate coding

  • Assist with organizing incoming invoices

  • Update inventory weekly in ComputerEase (as instructed)

  • Assist with updating fleet maintenance tracking sheets


Vendor & Document Management

  • Maintain vendor files and W-9 documentation

  • Assist with new vendor packets and vendor profile updates

  • Respond to vendor inquiries regarding payments

  • Track and manage lien waivers and notices to owners

  • Prepare waivers and tracking mechanisms for new jobs

  • Research outstanding payables tied to notices and obtain internal approval


Administrative & Office Support

  • Perform general administrative tasks (filing, scanning, copying, data entry)

  • Answer and route phone calls and emails professionally

  • Maintain and update office records and documents

  • Draft and proofread basic emails and internal communications

  • Manage incoming and outgoing mail

  • Monitor and order office supplies as needed

  • Assist with meeting preparation and coordination

  • Prepare quarterly newsletters and distribute to all employees


Cross-Department Support

  • Maintain certificates of insurance for company and subcontractors

  • Track and communicate safety meeting and training requirements

  • Provide administrative support to accounting, finance, project management, and HR as needed

  • Perform other duties as assigned


Skills & Qualifications

  • High school diploma or equivalent required; degree in accounting, finance, or business preferred

  • Strong attention to detail and accuracy

  • Basic understanding of accounting principles (or strong desire to learn)

  • Proficiency in Microsoft Excel, Word, and Outlook

  • Strong organizational and time-management skills

  • Ability to prioritize and multitask

  • Professional verbal and written communication skills

Working Conditions / Physical Requirements

  • Sit, stand, stoop, or bend for extended periods (8+ hours)

  • Maintain a professional appearance appropriate for an office environment and occasional interaction with clients, vendors, and field personnel

  • Keep an organized and clean workspace to support efficiency and professionalism
