Executive Assistant & Project Coordinator

This job description shifts focus from consumer fintech to the healthcare risk management, workers' compensation, and cost-containment sector. It integrates executive support with project management tailored for our client, highlighting compliance, healthcare networks, corporate governance, and proprietary data platforms like CareMC.

Role Overview

As an Executive Assistant & Project Coordinator, you will serve as the strategic right-hand to our executive leadership team. This role requires a blend of high-level administrative mastery and rigorous project coordination to drive key initiatives across our national managed care, third-party administration (TPA), and healthcare cost-containment service lines. You will protect leadership’s time, manage corporate governance, and drive cross-functional projects that optimize our industry-leading risk management technologies.

Key Responsibilities

  1. Project Coordination & Operational Delivery
  • Initiative Tracking: Manage and drive corporate projects aligned with operational milestones and clinical service goals.
  • Cross-Functional Liaison: Coordinate project deliverables between Account Management, Clinical Solutions, IT, and Provider Relations teams.
  • Workflow Integration: Standardize and map out project workflows to improve operational efficiency in high-volume environments.
  • Status Dashboards: Maintain internal project tracking tools to monitor progress, flag bottlenecks, and provide regular reporting to senior management.
  1. Strategic Calendar & Executive Support
  • Gatekeeping Mastery: Manage highly complex, rapidly shifting executive calendars, prioritizing critical client engagements, board obligations, and internal reviews.
  • Meeting Preparation: Ensure executives are meticulously prepared for all meetings with agendas, client background briefs, financial updates, and regional performance data.
  • Travel & Logistics: Coordinate extensive national travel arrangements, comprehensive itineraries, and corporate expense reconciliation with strict adherence to budget. 
  1. Governance, Documentation & Compliance
  • Meeting Governance: Formally capture executive and steering committee meeting minutes, systematically tracking accountability and action items.
  • Information Security: Manage highly confidential data with strict adherence to HIPAA guidelines, corporate governance, and risk management protocols.
  • Executive Communication: Draft, proofread, and format polished corporate communications, including client-facing proposals, executive memos, and board presentations. [

What We’re Looking For (Qualifications)

  • Experience: 4+ years as an Executive Assistant, Project Coordinator, or Operations Lead—ideally within healthcare administration, workers' compensation, corporate insurance, or risk management.
  • Industry Knowledge: Strong familiarity with healthcare cost containment, TPA structures, clinical programs, or bill review operations is highly preferred.
  • Technical Savviness: Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint). Familiarity with enterprise software, CRM systems, or data portals (like CareMC) is a significant plus.
  • Project Management Skills: Proven experience managing multiple, concurrent projects using structured frameworks (e.g., Kanban, Agile, or traditional PM models).
  • Communication & Presence: Exceptional verbal and written communication skills. Comfort collaborating with external stakeholders, clinical personnel, and C-suite leadership.
  • Adaptability: A steady demeanor when handling shifting corporate priorities and unexpected challenges in a fast-paced environment
