About the Role
We are seeking a highly organized and professional Office Administrator to support the day-to-day operations of our office. The successful candidate will play a key role in ensuring administrative processes run efficiently while providing excellent support to staff, clients, and vendors.
This position requires strong organizational abilities, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is dependable, proactive, and confident in handling a wide range of administrative responsibilities.
Key Responsibilities
- Manage incoming phone calls, emails, and general office inquiries in a professional and timely manner
- Welcome visitors and provide exceptional customer service and front-desk support
- Maintain office supplies, equipment, and inventory levels to ensure smooth daily operations
- Prepare, organize, and maintain documents, reports, correspondence, and records
- Coordinate and schedule meetings, appointments, and calendars
- Assist with administrative support related to HR and accounting functions, including filing, data entry, and record keeping
- Process incoming and outgoing mail, courier shipments, and deliveries
- Maintain accurate and organized digital and physical filing systems
- Provide administrative assistance to management and team members as required
- Help maintain a clean, organized, and efficient office environment
- Support daily office operations and contribute to overall workplace productivity
Qualifications
- High school diploma required; post-secondary education in Business Administration or a related field is considered an asset
- 1–3 years of administrative, office administration, or office support experience preferred
- Strong verbal and written communication skills
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook
- Excellent organizational, multitasking, and time-management skills
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information professionally
- Ability to work independently as well as collaboratively within a team environment
