Front Office Coordinator / Administrative Assistant
Job Summary
We are seeking a highly organized, detail-oriented Front Office Coordinator / Administrative Assistant to support our team in Laramie. This role is the backbone of daily office operations and serves as the first point of contact for applicants, associates, clients, and visitors.
The ideal candidate is proactive, task-focused, dependable, and willing to jump in wherever needed. This person thrives in a busy environment, takes initiative without being asked, and enjoys keeping things organized and running efficiently. You will provide critical administrative and operational support to the Employment Specialist team so they can focus on recruiting, interviewing, and placing candidates.

Key Responsibilities
Front Office & Customer Service
- Create a welcoming and professional first impression for all applicants, associates, clients, and visitors
- Answer and direct incoming phone calls promptly and professionally
- Manage front office traffic and applicant flow efficiently
- Provide a high level of customer service to internal and external customers
- Schedule interviews and orientations for Employment Specialists
- Assist applicants with paperwork, onboarding forms, and skills evaluations
Administrative Support
- Handle office administrative tasks and daily operational support
- Maintain accurate applicant and employee records in company systems
- File applications, onboarding documents, payroll records, and other paperwork
- Prepare correspondence, mailings, and office communications
- Maintain office organization, supplies, and overall appearance
- Support team members with administrative needs and special projects
Payroll & Associate Support
- Collect and process employee timecards
- Assist with payroll processing and payroll-related questions
- Distribute payroll checks when necessary
- Conduct reference checks and employment verifications
- Assist with associate communication and follow-up
Recruiting & Scheduling Support
- Conduct initial inquiry calls with applicants
- Schedule interviews and maintain recruiting calendars
- Send interview reminders and follow-up communications
- Assist with recruiting initiatives, hiring events, and job fairs
- Make outbound calls to applicants and candidates as needed
Team Support & Initiative
- Identify tasks that need attention and take initiative to complete them
- Jump in to assist wherever needed in a team-oriented environment
- Help maintain smooth office operations during busy periods
- Support office goals, productivity, and overall team success
Qualifications
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Excellent communication and customer service skills
- Strong sense of urgency and follow-through
- Self-starter who takes initiative without constant direction
- Positive attitude and team-player mentality
- Comfortable handling confidential information
- Strong typing, computer, and data entry skills
- Ability to manage multiple phone lines and administrative tasks simultaneously
- Proficiency in Microsoft Office and general office technology
Preferred Experience
- Administrative assistant or office coordinator experience
- Staffing, recruiting, HR, or customer service background preferred
- Experience with payroll processing, scheduling, or onboarding is a plus
Education
- High School Diploma or GED required
