Overview

We are seeking a bilingual Payroll & Benefits Administrator to support U.S. operations for a growing international organization. This role is responsible for accurate multi-state payroll processing, employee benefits administration, and HRIS management while ensuring compliance with federal, state, and local regulations. The position also partners closely with HR and payroll teams in Mexico to maintain seamless processes and data integrity across systems.

Key Responsibilities

Payroll Administration

  • Process weekly and bi-weekly payroll for U.S. employees, including wages, overtime, bonuses, commissions, deductions, and garnishments.
  • Manage multi-state payroll compliance, including tax withholding and wage and hour regulations.
  • Maintain payroll records for hires, terminations, employee changes, and timekeeping data.
  • Audit payroll transactions, reconcile discrepancies, and support quarterly and year-end tax reporting, including W-2 preparation.
  • Respond to employee payroll inquiries and resolve issues in a timely manner.
  • Maintain and optimize payroll system configurations and conduct regular audits for accuracy and compliance.

Benefits Administration

  • Administer employee benefits programs including medical, dental, vision, life insurance, disability, retirement plans, and wellness programs.
  • Support annual benefits renewals and vendor negotiations alongside brokers and carriers.
  • Coordinate open enrollment processes and communicate benefits information to employees.
  • Reconcile benefits invoices and ensure accurate payroll deductions.
  • Serve as the primary contact for employee benefits questions and issue resolution.
  • Ensure compliance with benefits-related regulations including COBRA, ACA, and ERISA.
  • Coordinate relocation benefits for new hires as needed.

HRIS & HR Support

  • Manage and maintain HRIS systems, including data integrity, reporting, troubleshooting, and user support.
  • Generate HR and payroll reports related to headcount, turnover, compliance, and workforce metrics.
  • Coordinate HR and payroll data processes between U.S. and Mexico operations.
  • Support onboarding, offboarding, employee record maintenance, and audit preparation.
  • Maintain confidentiality and accuracy of sensitive employee information and personnel files.

Qualifications

  • Bachelor’s degree in Business, Human Resources, Accounting, Finance, or a related field.
  • 3–5 years of payroll administration experience, including multi-state payroll processing.
  • Experience with benefits administration and HRIS platforms, preferably Dayforce (Ceridian).
  • Strong understanding of federal and state payroll laws, tax regulations, and benefits compliance requirements including FLSA, FMLA, COBRA, and ACA.
  • Bilingual proficiency in English and Spanish required.
  • Certified Payroll Professional (CPP) certification is a plus.
