Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization
- Manage multi-line phone systems efficiently, directing calls and taking accurate messages
- Handle scheduling, calendar management, and appointment coordination for staff and executives
- Maintain organized filing systems, perform data entry, and ensure document accuracy through proofreading
- Support office management tasks including inventory control, supply ordering, and mail distribution
- Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and correspondence
- Assist with bookkeeping activities such as basic QuickBooks data entry and record keeping
- Provide customer support by addressing inquiries professionally and promptly
- Manage clerical duties including typing, filing, and maintaining office records with attention to detail
- Uphold phone etiquette standards while delivering excellent customer service in both languages
- Support personal assistant tasks as needed, including document preparation and information organization
Qualifications
- Proven experience in front desk or office management roles with strong clerical background
- Bilingual proficiency in Spanish, with excellent verbal and written communication skills in both languages
- Demonstrated ability to operate multi-line phone systems effectively
- Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer literacy
- Prior experience with QuickBooks or similar bookkeeping software is preferred
- Strong organizational skills with the ability to prioritize tasks efficiently
- Attention to detail in proofreading, data entry, and record keeping
- Excellent customer service skills coupled with professional phone etiquette
- Must have a valid NC drivers license.
