Our client is a well-established organization in the manufacturing and distribution space, supporting a wide range of industrial and commercial customers. This role is critical to supporting the sales team and ensuring accurate, timely processing of customer orders and documentation. The client's confidentiality will be maintained during the early stages of the hiring process.
Position Summary
The Sales Administrator supports sales and operations by managing customer orders, processing documentation, maintaining data accuracy, and serving as a key point of contact for customers. This role requires strong attention to detail, comfort working with multiple systems, and consistent communication with internal teams and customers.
Key Responsibilities
- Process web and internal sales orders accurately and efficiently
- Provide customers with order status updates, shipment details, and delivery tracking
- Enter certifications and customer documentation into ERP systems
- Process vendor invoices and maintain accurate customer records
- Respond to customer inquiries via phone and email related to pricing, products, and order status
- Process credit card payments and invoice sales orders daily
- Manage Returns Merchandise Authorizations and related credits
- Review open order reports and follow up on discrepancies
- Process drop ship orders and assist with inventory accuracy, including cycle counts
- Coordinate with sales, purchasing, and management regarding order issues or special requests
Knowledge, Skills, and Qualifications
- Experience using Microsoft Office, including Word, Outlook, and Excel
- Experience working in ERP and CRM systems is preferred
- Strong verbal and written communication skills
- close attention to detail and accuracy with data entry and documentation
- Ability to manage multiple priorities in a fast-paced environment
- Customer-focused mindset with a team-oriented approach
Physical and Work Environment Requirements
- Consistent use of phone, keyboard, and computer screens
- Ability to sit for extended periods of time
- Occasional lifting of up to 25 pounds
Schedule
- Full-time, Monday through Friday
- Daytime business hours
