Key Responsibilities
Document Specialists handle the integrity and flow of information within an organization.
  • Document Lifecycle Management: Creating, editing, revising, and archiving documents to ensure they are current.
  • Compliance and Quality Control: Ensuring all documents adhere to company policies, industry standards, and legal regulations.
  • Version Control: Maintaining control over document versions to ensure only the most current information is in use.
  • System Maintenance: Organizing and maintaining electronic and hard-copy filing systems.
  • Records Retrieval: Assisting employees and clients by retrieving and supplying specific documents upon request. 
Daily Task
  • Data Entry and Scanning: Digitizing paper documents and entering data into databases.
  • Proofreading and Editing: Reviewing documents for accuracy, spelling, grammar, and formatting.
  • Distributing Information: Distributing new or updated policies and procedures to relevant departments.
  • Updating Registers: Managing the documentation change register.
  • Audit Participation: Assisting with internal audits and regulatory inspections. 
Essential Skills
  • Proficiency in Technology: Mastery of Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat Pro, and document management software (e.g., SharePoint).
  • Attention to Detail: Meticulous proofreading and organizational skills to ensure zero errors in crucial documentation.
  • Communication Skills: Strong verbal and written communication for collaborating with other departments and training staff.
  • Regulatory Knowledge: Understanding of document security standards, privacy regulations, and compliance requirements.
  • Project Management: Ability to manage multiple projects, prioritize tasks, and meet deadlines.

Qualifications

  • Typically requires a bachelor's degree in communication, business, or a related field, though extensive experience can be substituted.
  • Strong familiarity with legal, technical, or specific industry terminology is frequently required.
