Accounting & Administrative Coordinator (Temporary) – Paying $60-65k/year

About the Opportunity

One of our clients, a growing commercial real estate organization with in-house asset management and property management functions, is seeking an Accounting & Administrative Coordinator to join their team on a temporary basis. The organization supports multiple commercial properties and tenants across the GTA, along with related business operations within a family office environment.

Key Responsibilities

Accounts Payable & Financial Support

  • Monitor and manage shared AP and Accounting inboxes
  • Receive, organize, rename, and route invoices and supporting documentation
  • Enter invoices into QuickBooks, including coding, verification, and document attachment
  • Maintain vendor setup records and onboarding documentation
  • Assemble payment support packages and invoice documentation for review
  • Assist with reconciliation and month-end preparation activities as assigned

Document Control & SharePoint Administration

  • Scan, file, and organize financial, lease, vendor, and operational documentation
  • Maintain organized records within SharePoint and company file systems
  • Support audit readiness and operational continuity through disciplined document management

Compliance Tracking & Vendor Coordination

  • Maintain vendor and tenant compliance trackers
  • Support Certificate of Insurance (COI) tracking and renewal follow-up
  • Coordinate vendor onboarding documentation and follow up on missing information
  • Assist with additional compliance-related tasks as responsibilities expand

Office Administration & Coordination

  • Coordinate office supply purchasing and inventory
  • Manage courier, messenger, and shipping logistics
  • Provide administrative coordination support for executives and related office activities
  • Assist with scheduling and service coordination as required
  • Support seasonal and corporate gifting initiatives
  • Provide general office and facilities coordination support

Lease & Tenant Administration Support

  • Maintain lease, vendor, and compliance tracking records
  • Support document requests related to leasing, acquisitions, and dispositions
  • Assist with tenant and lease administration documentation
  • Perform additional accounting, administrative, compliance, and coordination duties as assigned

Qualifications

Required Qualifications

  • 1–3 years of experience in accounting administration, property administration, or office administration
  • Proficiency in QuickBooks, including AP entry, coding, and standard reporting
  • Strong document management and organizational skills, preferably using SharePoint or similar systems
  • Excellent written and verbal communication skills
