Administrative Assistant – must have strong attention to detail in fast pace environment. Bilingual Spanish Preferred
Pay: $19.00/hourSchedule: Monday–Thursday, 7:00 AM – 5:30 PM (Summer: 4-day, 10-hour schedule)
We are seeking a highly organized and detail-oriented Administrative Assistant to support daily departmental operations. This role requires strong accuracy, the ability to manage confidential and time-sensitive information, and excellent communication skills. The Administrative Assistant will support application processing, records management, scheduling, onboarding coordination, and general office administration in a fast-paced environment.
Manage and coordinate the full application processing workflow, including intake, review, verification, and completion within required timelines
Maintain accurate and organized records in compliance with applicable regulations and internal policies
Support and track application verification processes and related documentation
Provide administrative support for onboarding and coordination of new temporary staff as needed
Maintain scheduling systems, calendars, and departmental appointments
Coordinate and schedule orientation and training sessions for temporary staff on a recurring basis
Serve as a primary point of contact for internal and external inquiries, providing timely and professional customer service
Prepare, organize, and distribute correspondence and communications across multiple channels
Maintain departmental files, documentation, and master records
Generate routine reports and assist with data tracking and reporting as needed
Support purchasing and supply coordination, including inventory tracking and ordering assistance
Assist with meeting preparation, agendas, and meeting minutes as required
Coordinate travel arrangements and expense documentation for departmental staff
Provide backup administrative support across departmental functions when needed
Perform additional administrative duties as assigned
High attention to detail and strong organizational skills
Ability to manage multiple deadlines and prioritize tasks effectively
Strong written and verbal communication skills
Proficiency in Microsoft Office and general office systems
Ability to handle confidential information with discretion
Strong customer service mindset and professional demeanor
Ability to work independently and as part of a team in a structured environment
Associate’s degree in Business Administration or related field, or equivalent combination of education and experience
Bachelor’s degree in Business Administration or related field preferred
Bilingual abilities a plus
Previous administrative or office coordination experience strongly preferred
