Job Description:

Overview: We are seeking an Administrative Assistant to join the team at a well-established general contractor/building supply company. This position plays a pivotal role in ensuring the smooth day-to-day operations of their office. The ideal candidate will provide essential administrative support and assist in managing various office tasks.

Key Responsibilities:

  1. Administrative Support: Provide comprehensive administrative support to the office staff, including but not limited to handling phone calls, email correspondence, and scheduling appointments.

  2. Data Entry: Accurately input and maintain data related to projects, orders, and inventory using relevant software and tools.

  3. Customer Service: Interact with customers in a professional and friendly manner, addressing their inquiries and providing information on products and services.

  4. Supplies Management: Assist in managing office supplies and inventory, ensuring adequate stock levels are maintained.

  5. Filing and Documentation: Organize and maintain physical and electronic files, ensuring documents are easily accessible when needed.

  6. Assist in Payroll: Support in the preparation and processing of employee payroll, ensuring accuracy and compliance with company policies.

  7. Reporting: Generate routine reports, as needed, to assist management in decision-making processes.

  8. Team Collaboration: Work closely with other office staff and management to ensure a cohesive and efficient office environment.

  9. Compliance: Ensure compliance with company policies, procedures, and safety regulations.

Qualifications:

  • High school diploma or equivalent; additional education or relevant certification is a plus.
  • Proven experience in an administrative or office support role is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
  • Attention to detail and a commitment to accuracy.
  • A positive and proactive attitude with the ability to work well in a team.
  • Knowledge of construction and building supply industry is a bonus but not required.
