Job Title: Office Administrator

Job Overview:

We are seeking a highly organized and detail-oriented Office Administrator to support the daily operations of our office. The Office Administrator will be responsible for ensuring smooth office functions, coordinating administrative tasks, and assisting with office-related needs. The ideal candidate will be proactive, efficient, and capable of managing a variety of responsibilities with a positive attitude.


Key Responsibilities:

  • Administrative Support:

    • Manage incoming calls, emails, and correspondence, ensuring prompt responses and redirection to appropriate personnel.
    • Maintain office supplies inventory by monitoring stock levels and placing orders when necessary.
    • Greet and assist visitors, providing a friendly and professional office environment.
    • Schedule meetings, appointments, and maintain office calendars.
  • Document Management:

    • Organize and maintain physical and digital files, ensuring accurate record-keeping and confidentiality.
    • Prepare, proofread, and distribute documents, reports, and presentations as required.
    • Assist in the preparation of contracts, proposals, and other important documents.
  • Financial Tasks:

    • Process invoices, expense reports, and reimbursements in coordination with the finance department.
    • Manage petty cash and handle light bookkeeping tasks.
  • Office Operations:

    • Coordinate office maintenance and repairs, ensuring a clean and safe workspace.
    • Assist with onboarding new employees, including preparation of office space and administrative setup.
    • Handle mail distribution, shipping, and receiving of packages.
  • Event Coordination:

    • Plan and organize office events, meetings, and other company functions.
    • Assist in travel arrangements and accommodations for staff as needed.

Qualifications:

  • Education: High school diploma or equivalent (Associate's degree in Business Administration or related field preferred).
  • Experience: Minimum of 1-2 years in an administrative or office support role.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong organizational skills with the ability to multitask and prioritize work.
    • Excellent written and verbal communication skills.
    • Attention to detail and problem-solving abilities.
    • Ability to work independently and in a team setting.
