Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to support the daily operations of our office. The Office Administrator will be responsible for ensuring smooth office functions, coordinating administrative tasks, and assisting with office-related needs. The ideal candidate will be proactive, efficient, and capable of managing a variety of responsibilities with a positive attitude.
Key Responsibilities:

Administrative Support:
- Manage incoming calls, emails, and correspondence, ensuring prompt responses and redirection to appropriate personnel.
- Maintain office supplies inventory by monitoring stock levels and placing orders when necessary.
- Greet and assist visitors, providing a friendly and professional office environment.
- Schedule meetings, appointments, and maintain office calendars.

Document Management:
- Organize and maintain physical and digital files, ensuring accurate record-keeping and confidentiality.
- Prepare, proofread, and distribute documents, reports, and presentations as required.
- Assist in the preparation of contracts, proposals, and other important documents.

Financial Tasks:
- Process invoices, expense reports, and reimbursements in coordination with the finance department.
- Manage petty cash and handle light bookkeeping tasks.

Office Operations:
- Coordinate office maintenance and repairs, ensuring a clean and safe workspace.
- Assist with onboarding new employees, including preparation of office space and administrative setup.
- Handle mail distribution, shipping, and receiving of packages.

Event Coordination:
- Plan and organize office events, meetings, and other company functions.
- Assist in travel arrangements and accommodations for staff as needed.
Qualifications:
- Education: High school diploma or equivalent (Associate's degree in Business Administration or related field preferred).
- Experience: Minimum of 1-2 years in an administrative or office support role.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to multitask and prioritize work.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to work independently and in a team setting.
