Position Summary

The Parts Specialist is responsible for assisting internal and external customers with identifying, ordering, receiving, and processing parts while ensuring excellent customer service and accurate inventory management. This role supports daily operations through communication with customers and vendors, inventory control, shipping and receiving, and maintaining organized stock areas. The ideal candidate is detail-oriented, dependable, and able to thrive in a fast-paced environment.

 

Essential Duties & Responsibilities

Customer Service & Sales

  • Assist customers with parts inquiries, quotations, and sales
  • Communicate effectively with customers in person and over the phone
  • Identify replacement parts using catalogs, computer systems, and inspections
  • Recommend substitute or modified parts when exact replacements are unavailable
  • Provide product information and demonstrate part functionality when necessary
  • Process telephone orders and fulfill customer requests from available inventory
  • Generate parts counter tickets/slips and process payments or credit authorizations
  • Inspect returned parts and facilitate exchanges or refunds as needed

Inventory & Warehouse Operations

  • Order and maintain parts inventory
  • Stock shelves, organize bins, and record part locations accurately
  • Conduct regular inventory counts and perpetual bin audits
  • Maintain special order bins and product displays
  • Organize and store parts according to company procedures
  • Prepare parts for transfer between branches and process incoming transfers
  • Maintain delivery schedules and update delivery boards with departure times and destinations

Shipping & Receiving

  • Receive, inspect, and process incoming shipments
  • Prepare outgoing shipments and transfers
  • Ensure accurate documentation and inventory tracking

Systems & Administrative Duties

  • Utilize SAP and internal computer systems to issue, return, and process parts/tooling
  • Maintain accurate records and inventory documentation
  • Use Microsoft Excel, Word, and Outlook for daily operations
  • Communicate consistently with vendors and internal departments

Qualifications

Education

  • High School Diploma or GED required

Experience

  • 1–2 years of related parts, warehouse, inventory, or customer service experience preferred

Skills & Abilities

  • Strong customer service and communication skills
  • Ability to multitask in a fast-paced environment
  • Basic computer proficiency including Microsoft Office
  • Experience with SAP preferred
  • Strong organizational and problem-solving skills
  • Bilingual (English and Spanish) preferred

Work Environment

This position may involve working in office settings, warehouses, job sites, and industrial environments. Candidates should be comfortable working both indoors and outdoors as needed.
