Part-Time Admin Assistant in Hanover PA

Located in Hanover, PA

Salary: $14/hr-$15/hr DOE

Hours: Flexible schedule. 3-4 days a week, and 20-30 hours each week. Business operates Monday through Friday, 7am-3:30pm.

Job Summary:

Customer Service & Communication

·         Answer incoming phone calls and assist callers or direct them to the appropriate department.

·         Greet and assist customers as needed.

·         Walk clients through the showroom when necessary.

·         Communicate with the shop floor using walkie-talkies to relay information or updates.

Order Processing & Accuracy

·         Review and double-check orders before they are sent to the shop to ensure accuracy, including:

o    Correct finished ends

o    Proper hinging

o    Matching cabinet quantities and sizes

·         Verify picking tickets once they return to the office and ensure all items are properly marked.

·         Double-check all “ready” orders from shipping to confirm completeness.

·         Sign or initial the Dealer Name line indicating the order was reviewed and confirmed to prevent issues during pickup.

·         If an issue or discrepancy is discovered in the shop, notify a supervisor so corrections or new paperwork can be issued.

Documentation & Filing

·         File paperwork and orders according to the filing system established by supervisors.

·         Maintain organized records for orders and operational documents.

·         Check incoming mail daily.

Reporting & Administrative Duties

·         Send End-of-Day (EOD) reports including boxed and shipped order details immediately or on a daily basis.

·         Maintain accurate payroll documentation. Record employee punch times exactly as worked (e.g., 7:01 AM or 3:26 PM).

·         Ensure timecards are entered accurately and prepared by Wednesday or Thursday prior to the new payroll cycle.

·         Update Excel documentation when employees leave during the workday and submit timecards to the Office Manager for records.

Operations Support

·         Assist with loading trucks for pickups or deliveries. When coworkers call out job numbers and item numbers, mark the items as loaded on the truck.

Office Maintenance & Compliance

·         Maintain a clean and organized office environment.

·         Ensure all employee documentation and evacuation records are up to date.

·         Lock the office and all doors at the end of each day before leaving.
