The organization distributes products used in landscaping, turf management, and controlled-environment agriculture, with a strong focus on operational efficiency, customer service, and supply chain excellence at the local branch level.
Position Summary
The Office & Operations Support Specialist plays a critical role in ensuring smooth day-to-day branch operations. This position provides administrative, financial, and operational support while serving as a key point of contact for customers, vendors, and internal teams. The ideal candidate is adaptable, detail-oriented, and comfortable balancing clerical work with operational backup responsibilities.
Core Responsibilities
Office Administration
- Support efficient office operations by performing a variety of clerical duties.
- Process incoming mail, maintain organized filing systems, and manage routine documentation.
- Answer incoming telephone calls professionally and greet visitors courteously, directing inquiries as appropriate.
Order Management
- Accurately enter and confirm customer orders in internal systems.
- Process daily receipts for incoming goods and ensure documentation aligns with received inventory.
Financial & Data Support
- Perform Accounts Payable functions, ensuring accuracy and adherence to established procedures.
- Maintain routine records such as inventory and operational reports.
- Review calculations, verify data accuracy, and compile information for requested reports.
Operational Support
- Serve as a backup Dispatcher when needed, supporting daily logistics and delivery coordination.
- Demonstrate the ability to calculate fractions and percentages accurately for operational and inventory-related tasks.
