Property Management Coordinator / Assistant Property Manager
Location: Salem, OR & Surrounding Areas
Pay: $45,500 – $55,000/year DOE (Salaried Position)
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (On-call rotation required)
Job Summary:
Express Employment Professionals is seeking a motivated and detail-oriented Property Management Coordinator / Assistant Property Manager to support commercial real estate operations in Salem and surrounding areas. This full-time, salaried role focuses on tenant relations, vendor coordination, administrative oversight, and day-to-day property operations.
The ideal candidate is highly organized, proactive, and capable of managing multiple priorities while maintaining excellent communication with tenants, vendors, and property ownership. This position offers long-term career growth and advancement opportunities within the real estate industry.
Key Responsibilities:
• Ensure all tenant communications are professional, accurate, and timely
• Serve as liaison between tenants, vendors, and property management team
• Track, document, and follow up on work orders and maintenance requests
• Coordinate vendor services and oversee project completion
• Maintain strong relationships with contractors and assist sourcing new vendors
• Assist with tenant move-ins and move-outs, including security deposit processing
• Order, track, and maintain inventory of building supplies
• Coordinate and track annual property maintenance and inspections
• Review, create, and manage service contracts and vendor agreements
• Develop RFPs to obtain competitive vendor pricing
• Assist with special projects under direction of Property Manager or Broker
• Step in for Real Estate Manager as needed
• Communicate with property owners/clients as directed
• Participate in on-call rotation, including evenings and weekends as needed
Administrative & Financial Duties:
• Ensure certificates of insurance are current and compliant
• Maintain accurate lease, contract, and property documentation
• Complete leasing paperwork and tenant processing
• Show available units (if licensed) and manage leasing inquiries
• Code accounts payable (AP) and track accounts receivable (AR)
• Assist with annual expense reconciliations and budgeting
• Support monthly ownership reporting, including operational summaries
Qualifications:
• High school diploma required (BS/BA preferred)
• Minimum 3 years of administrative experience required
• Minimum 2 years of commercial property management experience required
• Leasing experience preferred
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Strong customer service and problem-solving skills
• Ability to work independently in a fast-paced environment
• Proficient in Microsoft Word, Excel, and Outlook
• Experience with AppFolio or similar property management software preferred
• Experience with PropertyMeld or maintenance platforms preferred
• Valid Oregon Driver’s License with clean driving record required
• Ability to pass background check
Physical Requirements:
• Ability to sit, stand, and move throughout the workday
• Occasional site visits to properties may be required
• Ability to lift up to 25 lbs as needed
