Job Summary

The Administrative Assistant provides vital support to ensure the smooth and efficient operation of the water supply company. This role involves managing daily administrative tasks, coordinating schedules, maintaining records, and facilitating communication across departments and with external stakeholders.


Key Responsibilities

  1. Administrative Support

    • Answer and direct phone calls, emails, and inquiries professionally.
    • Manage calendars, schedule appointments, and coordinate meetings.
    • Prepare and distribute correspondence, reports, and other documents as needed.
  2. Record Management

    • Maintain organized and up-to-date records of water supply contracts, customer accounts, and vendor agreements.
    • Ensure compliance with company and regulatory record-keeping policies.
  3. Customer Service

    • Address customer inquiries, concerns, and service requests promptly and courteously.
    • Assist with billing issues, account setups, and service changes.
  4. Operational Coordination

    • Collaborate with field technicians to schedule maintenance, repairs, and installations.
    • Track and order office supplies and maintain inventory levels.
    • Assist with managing work orders and project timelines.
  5. Data Entry and Reporting

    • Enter and update customer and operational data into company systems accurately.
    • Generate regular reports on water usage, customer accounts, and departmental performance.
  6. Compliance and Documentation

    • Assist in preparing documentation for audits, permits, and compliance with local water regulations.
    • Stay informed about industry regulations to ensure company practices align with legal requirements.

Qualifications

  • Education: High school diploma or equivalent required; Associate's degree or higher preferred.
  • Experience:
    • 1+ years of administrative support experience, preferably in utilities, infrastructure, or related industries.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong organizational and time-management skills.
    • Excellent verbal and written communication skills.
    • Attention to detail and ability to manage multiple priorities simultaneously.
    • Bilingual (English and Spanish) is preferred
