The Office Manager supports the administrative and operational functions of an industrial facility by overseeing office operations, coordinating with production and warehouse teams, and ensuring smooth communication across departments. This role plays a critical part in maintaining compliance, supporting safety initiatives, managing documentation, and keeping day-to-day business operations running efficiently in a fast-paced industrial environment.

Key Responsibilities

  • Oversee daily administrative operations for the facility.
  • Serve as the primary administrative liaison between office staff, sales, warehouse, and management teams
  • Manage scheduling, calendars, internal communications, and meeting coordination
  • Maintain accurate records for payroll, timekeeping, attendance, and employee documentation
  • Assist with onboarding, training coordination, and HR-related administrative tasks
  • Support safety and compliance efforts by maintaining OSHA records, incident reports, training logs, and certifications
  • Coordinate purchasing, invoices, vendor accounts, and expense tracking
  • Order and manage office, warehouse, and light operational supplies
  • Prepare reports related to production support, labor tracking, and operational metrics
  • Manage facility service vendors (maintenance, utilities, waste removal, equipment servicing)
  • Ensure adherence to company policies, safety standards, and internal procedures
  • Maintain confidential records with accuracy and discretion

Qualifications

  • Associate’s or bachelor’s degree preferred, or equivalent relevant experience
  • 3–5 years of office management or administrative experience, in an industrial, manufacturing, or construction environment
  • Strong understanding of office operations within a production-driven business
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP or timekeeping systems
  • Strong organizational, multitasking, and problem-solving skills
  • Excellent written and verbal communication skills

Preferred Skills & Experience

  • Experience supporting manufacturing, logistics, construction, or industrial operations
  • Familiarity with OSHA standards, safety documentation, and compliance reporting
  • Payroll or timekeeping system experience
  • Ability to work effectively with hourly, supervisory, and management-level employees
  • Calm, professional demeanor in a fast-paced, deadline-driven environment
