Job Summary

The Office Administrator supports daily operations by coordinating office activities, maintaining organization, and assisting leadership with administrative tasks. This role requires strong communication skills, attention to detail, and the ability to work independently.

 

Responsibilities & Duties

  • Oversee all aspects of general office coordination

  • Maintain office calendar to support workflow and meeting schedules

  • Maintain confidentiality of all client, staff, and organizational information

  • Assist with updates and maintenance of the organization’s website

  • Interact professionally with clients, vendors, and visitors

  • Answer incoming calls and route them to appropriate staff

  • Open, sort, and distribute incoming mail, email, and faxes

  • Sign for and distribute delivered packages

  • Prepare responses to routine correspondence

  • Perform general clerical duties including copying, faxing, mailing, and filing

  • Create and modify documents such as invoices, reports, memos, and letters using Microsoft Office or other software

  • Set up and coordinate meetings and conferences

  • Prepare agendas and make arrangements for meetings

  • Attend meetings as requested to record minutes

  • Compile, transcribe, and distribute meeting minutes

  • Make travel arrangements for staff or volunteers

  • Maintain inventory of office equipment and supplies

  • Research, price, and purchase office furniture, equipment, and supplies

  • Arrange repair and maintenance of office equipment

  • Assist with general office upkeep and organization

  • Perform other duties as assigned by leadership

 

Qualifications & Skills

  • High school diploma or GED required

  • Minimum of 3 years of experience in general office administration; secretarial training a plus

  • Strong organizational and leadership abilities

  • Familiarity with office procedures, property management, or leasing is helpful

  • Proficiency in Microsoft Office and general computer skills

  • Ability to prioritize tasks and work with minimal supervision

  • Self-motivated, trustworthy, and dependable

  • Experience working with diverse populations is beneficial

  • Ability to communicate effectively and professionally

  • Ability to follow written and verbal instructions

  • Consistent, independent work habits

  • Punctual, flexible, and reliable

  • Ability to remain calm and act quickly in urgent situations

  • Valid Oklahoma driver’s license and properly insured vehicle for work-related tasks
