Position Overview
The Office Manager & Executive Assistant serves as the central hub for administrative operations while providing direct support to executive leadership. This role also includes coordination of board-related activities, records management, and financial administrative support.
The ideal candidate is proactive, highly organized, and comfortable working both independently and collaboratively.
Key Responsibilities
Administrative & Executive Support
- Serve as the primary point of contact for visitors, clients, and partners
- Provide executive-level support including calendar management, correspondence, travel coordination, and document preparation
- Draft, proofread, and prepare reports, presentations, and communications
- Maintain confidentiality of sensitive information
- Oversee daily office operations including supplies, vendors, and office maintenance
- Manage phones, mail, and general administrative functions
- Coordinate meeting spaces and scheduling
Board & Meeting Coordination
- Prepare and distribute agendas, meeting materials, and minutes
- Coordinate logistics for board and committee meetings
- Maintain accurate and organized records
- Assist with onboarding of board members
Financial Administration
- Assist with budgeting and financial tracking
- Handle accounts payable and receivable
- Prepare financial reports and support audit processes
- Maintain accurate financial records
Records & Compliance Management
- Maintain organizational records in accordance with required standards
- Support compliance with applicable regulations and documentation requirements
- Assist with preparation and submission of reports
- Ensure office systems and equipment are functioning properly
Qualifications
- Bachelor’s degree preferred
- 3+ years of experience in executive administrative support, office management, or similar role
- 3+ years of bookkeeping or financial experience
- Experience supporting leadership or board-level operations
- Strong proficiency in Microsoft Office and general office technology
- Excellent written and verbal communication skills
- Strong attention to detail and time management abilities
- Ability to handle confidential information with professionalism
