Job Description/Position Summary - This hybrid role combines core accounting functions (full-cycle AP/AR, banking, financial reporting, tax payments, and expense monitoring) with office management and administrative responsibilities. The position also oversees employee and business insurance programs, maintains licensing compliance, manages HR-related processes (benefits, handbook, contractor prequalification), and provides support to IT and subcontractor documentation needs. The role requires strong organizational skills, attention to detail, proactive problem-solving, and the ability to manage multiple priorities in a small-to-mid-sized business environment.
 
Overall Accounting Banking 
Track account balances and execute transfers between accounts.
Reconcile bank statements and payment records.
 
Accounts Payable 
Set up new vendors, submit credit applications, and verify references 
Oversee full AP cycle: invoice receipt, approval, and timely payment 
Review and approve all credit card transactions and expenses 
Process expense reimbursements and maintain accurate tracking
 
Accounts Receivable 
Oversee billing processes and administration 
Review aging reports and actively manage collections
 
Financial and Tax Reporting 
Complete monthly, quarterly, and year-end closing procedures 
Support outside CPA regularly financial statement reporting and income tax return preparation.
Process all tax payments (quarterly estimates and year-end filings) 
Monitor and analyze company cash flow and expenditures.
 
Licensing & Compliance
Apply for and maintain all state and local business licenses, monitor related tax filings for sales tax, payroll tax, etc. 
Keep all state contractor licenses current and in good standing
 
Employee Health Insurance
Supply census data for renewal proposals 
Review and analyze annual renewal proposals 
Manage employee enrollments, changes, and terminations 
Maintain premium payments and track employee contributions 
Perform required compliance audits 
Administer COBRA notifications, enrollments, and terminations
 
Business Insurance
Provide necessary data for annual insurance quotations 
Assist with year-end insurance audits 
Review policies and work with carriers on claims and renewals
 
Office Management & Administration Responsibilities:
Develop, document, and improve company processes and procedures 
Stay current with HR best practices and employment regulations 
Oversee all administrative functions and support 
Maintain and update the employee handbook 
Administer employee benefits, enrollments, and terminations 
Manage contractor prequalification process
 
Additional Responsibilities:
Assist IT with equipment, software, and technology needs 
Supply documentation for client/project prequalification packages 
Ensure subcontracts are fully executed and collect insurance certificates
 
Education Qualifications & Experience:
3-5 years experience in the construction/contracting industry focusing on internal accounting including full-charge or full-cycle responsibilities (AP, AR, reconciliations, month-end/year-end close and tax prep support.
Bachelors degree in Accounting, Finance, Business, Administration (a focus on accounting is preferred)
 
Skills and Other Competencies:
Experience with construction job cost/accounting software.
Familiarity with business/health insurance renewals, COBRA administration or HR compliance.
Ability to work well with employees
