Job Title: Bilingual Front Office Coordinator "FOC"
Location: South Oklahoma City
Schedule: Evaluation to hire | Monday–Friday | 8:00am to 5:00pm 

About the Position

The Bilingual Front Office Coordinator (FOC) is responsible for creating a positive first impression for all visitors and callers in the office. This role requires an outgoing, customer-service focused professional and serves as the first point of contact for applicants, associates, and clients—both in person and over the phone. The FOC manages a high volume of incoming applications, answers a multi-line phone system, greets visitors, administers skills evaluations, maintains the office environment, and supports the team in achieving the overall goals of the office. 

Key Responsibilities

  • Manage a high volume of inbound calls using a multi-line phone system while maintaining professional and courteous phone etiquette.
  • Greet and assist visitors, applicants, and associates in a friendly and professional manner.
  • Monitor, review, and respond to all online job applications on a daily basis.
  • Demonstrate a high level of multitasking by simultaneously managing phone calls, walk‑in traffic, scheduled interviews, and other assigned duties.
  • Demonstrate initiative by supporting team needs and contributing to a positive, professional, and motivating office culture.
  • Schedule and coordinate interviews while managing calendars and maintaining accurate scheduling in system and Outlook.
  • Administer applicant skills evaluations and assessments and enter data into system.
  • Effectively manage interactions with individuals of diverse backgrounds and personalities, using sound judgment to de‑escalate conflicts and address concerns.
  • Interview and place candidates on assignments from the front desk. 
  • Maintain a professional, organized, clean, and welcoming office appearance. 
  • Provide administrative and recruiting support to the team.
  • Utilize creative recruiting strategies, including social media, community outreach, churches, referrals, and networking opportunities, to attract qualified candidates.
  • Support the achievement of daily, weekly, monthly, and annual office goals.

Requirements

  • Strong ability to multitask in a fast‑paced office environment.
  • Experience with a multi‑line phone system and professional customer service.
  • Proficient in Microsoft Outlook, Word, and Excel; accurate data entry skills.
  • Typing speed of at least 40 WPM with attention to detail.
  • Strong verbal and written communication skills, bilingual in English and Spanish highly preferred.
  • Ability to interact professionally with diverse individuals and handle situations with sound judgment.
